The Financial Aid Department is in search of a dedicated professional to assume the role of Financial Aid Advisor.

Located in a serene, park-like environment, West Valley College is just a short distance from Silicon Valley. Our institution prides itself on having a highly qualified staff and faculty, and our students value the college for its welcoming atmosphere and supportive community.

This role is essential for executing various technical tasks associated with financial aid, institutional scholarships, and related initiatives. Responsibilities include evaluating and preparing detailed financial aid packages, as well as managing updates to relevant software systems.

Work Assignment:

This is a full-time position, requiring 37.5 hours per week, for a duration of 12 months. The schedule may require some evening or weekend hours as necessary. This position is part of the West Valley-Mission Classified Employees Association (WVMCEA), Office, Technical & Business Services Employee Unit.

Work Location: West Valley College.

Compensation and Benefits:

Expected Salary Range:

  • $6,412.75-$6,980.67 monthly (WVMCEA Salary Schedule, Range 57, Steps A-C).

Minimum Qualifications:

A combination of experience and education that provides the necessary knowledge and skills is required. A typical pathway to acquire the needed qualifications includes:

  • Experience: Two years of relevant financial aid experience.
  • Education: An Associate's degree from an accredited institution with coursework in accounting, business, general education, or a related field.

AND

A strong understanding of and sensitivity to the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds of community college students, faculty, and staff.Preferred Qualifications:

  • Knowledge of Title IV regulations and experience in determining eligibility, awarding, and disbursing funds.

  • Conduct needs analysis and package awards according to eligibility criteria.
  • Assess student academic progress to ensure compliance with program requirements.
  • Perform financial calculations and reconcile data.
  • Organize and implement program activities effectively.
  • Work independently with minimal supervision.
  • Establish and maintain effective working relationships.
  • Prepare and maintain accurate records and reports using computer systems.
  • Prioritize tasks to meet deadlines.
  • Communicate effectively in both oral and written forms.
  • Advocate for the needs of program participants.
  • Train and direct student assistants and other staff as assigned.
  • Operate office equipment efficiently.
  • Utilize financial aid and database management software proficiently.

Examples of Responsibilities:

Responsibilities may include, but are not limited to:

  • Informing and advising students and families about financial aid programs and scholarship eligibility; assisting with application completion and documentation.
  • Evaluating students' financial needs based on federal and state guidelines; reviewing special circumstances requests.
  • Providing technical expertise on financial aid and scholarships to students, staff, and faculty.
  • Verifying compliance with eligibility requirements for financial aid programs; performing monthly reconciliations.
  • Utilizing advanced computer systems for data processing and reporting.
  • Monitoring and resolving issues related to financial aid software systems.
  • Collaborating with instructional staff to ensure timely updates on new programs.
  • Maintaining a calendar of important financial aid deadlines and events.
  • Ensuring compliance with federal and state regulations regarding record retention.
  • Applying financial aid expertise to specialized programs and acting as a liaison with other departments.
  • Participating in professional development and training activities.
  • Supporting outreach efforts at various events as needed.
  • Preparing accurate reports and performing reconciliations of assigned programs.
  • Supervising student workers and processing work-study timesheets.
  • Building positive relationships with colleagues and the public.
  • Promoting an inclusive environment that values diversity and respect.
  • Performing related duties as assigned.
