  • The Contracts Manager role is designed to oversee and coordinate grant applications and management processes for Cares of NY, Inc. This includes effective management of funding sources, evaluation of program budgets, and monitoring of required reporting for existing grants. This position is essential in fostering the development of a robust infrastructure for grant management.
Key Responsibilities

  • Collaborates with subrecipients funded through grants to enhance and maintain service delivery.
  • Reviews financial submissions for accuracy and compliance with approved budgets and eligibility criteria, while providing guidance on vouchering processes and budget modifications.
  • Develops and implements standardized forms, processes, and policies to ensure a consistent approach to grant applications and expenditures.
  • Assesses alignment between grant priorities and organizational needs to optimize funding opportunities.
  • Participates in meetings and workshops to share and gather essential information for effective grant management.
  • Stays informed about regulations and best practices from the US Department of Housing and Urban Development (HUD) relevant to homeless service delivery.
  • Conducts compliance monitoring and reviews documentation for projects through both in-person and virtual evaluations.
  • Facilitates fiscal committee meetings to promote transparency and gather feedback on processes.
  • Assists in the development and management of redirected funds applications and scoring review teams.
  • Delivers financial updates to relevant boards and committees.
  • Communicates effectively with the Director of Grants and Contracts regarding agendas, fund redirection, contract modifications, and financial assessments.
  • Coordinates with HUD Field Offices and internal departments to manage budget and contract adjustments.
  • Provides excellent customer service to members, volunteers, and stakeholders.
Qualifications

  • Experience in a professional environment, particularly in customer service or funding administration, is preferred.
Education

  • A Bachelor's degree is required.
Additional Qualifications

  • Prior experience with government grants is advantageous but not mandatory.

  • Team-oriented with strong communication and leadership abilities.
  • Exceptional writing and editing skills with a keen attention to detail.
  • Strong organizational skills with the capacity to manage multiple projects and deadlines.
  • Ability to ensure high-quality and timely project outputs.
  • Willingness to enhance skills and knowledge to meet job expectations.
  • Proficient in Microsoft Word and Excel, with general computer literacy.
Travel Requirements

  • Field travel may be necessary as part of the role.
Work Schedule

  • This is a full-time position, requiring 40 hours per week, with flexible hours available.
