Position Overview

Metson Marine Services, Inc. (MMSI) is a well-established provider of ocean transportation and environmental services, with a commitment to excellence and safety. We are seeking an Administrative Assistant to support our Program Manager in a full-time capacity. This role is crucial for maintaining the efficiency of our operations.

Key Responsibilities
  • Administrative Support: Perform essential secretarial tasks including filing, managing phone communications, scheduling meetings, and arranging travel.
  • Office Management: Assist executive staff with office management duties such as budgeting, maintaining personnel records, and payroll administration.
  • Documentation and Reporting: Maintain and upload EE WFN documents, manage GFE inventory, and prepare various reports including monthly, quarterly, and bi-annual summaries.
  • Recruitment Assistance: Support recruitment efforts as needed, coordinate phone interviews, conduct employment verifications, and facilitate new hire orientations.
  • Compliance and Coordination: Ensure adherence to company policies, coordinate drug testing and physical examinations, and manage training requirements.
  • Record Keeping: Track seatime for all vessel crew and manage base pass requests.
Qualifications

Applicants must possess a high school diploma or equivalent certification, along with a minimum of six years of relevant experience in administrative functions. At least two years of this experience should involve budget or finance-related tasks.

Supervisory Responsibilities

As assigned by the Program Manager.

Physical and Work Environment

This position involves light office-related physical demands and is based in an office environment.
