Esta es una posición de contratación directa que requiere una verificación de antecedentes. El Executive Support Specialist proporcionará asistencia a cuatro líderes en relaciones gubernamentales mediante la gestión de calendarios, la organización de logística de reuniones, la planificación de viajes, la coordinación de interacciones con clientes, la preparación de materiales para reuniones y la asistencia con solicitudes ejecutivas.

Responsabilidades Clave:

  • Gestionar solicitudes de calendario, incluyendo reuniones, llamadas, eventos y otras actividades.
  • Organizar la logística de reuniones, incluyendo la preparación, distribución y/o impresión de materiales, mantenimiento de invitaciones de calendario y confirmaciones, recibir a los invitados y preparar la tecnología (videoconferencias, herramientas de colaboración, etc.) con anticipación.
  • Planificar y ejecutar arreglos de viaje, incluyendo itinerarios internacionales y nacionales, reservas y preparación de materiales informativos.
  • Coordinar la interacción con clientes y proporcionar asistencia telefónica y por correo electrónico.
  • Preparar a los principios para una variedad de reuniones internas y externas, recopilando, compilando y revisando materiales informativos y logísticos.
  • Actuar como una extensión o delegado del ejecutivo, asistiendo con solicitudes e inquietudes dirigidas a la dirección de la firma.
  • Gestionar los contactos de los principios con discreción, incluyendo el seguimiento, mantenimiento de registros actualizados y fomento de relaciones con clientes internos y externos.

Calificaciones:

  • Experiencia: Más de 3 años de experiencia administrativa, específicamente en el ámbito gubernamental.
  • Competencias: Dominio del Microsoft Office Suite (Outlook, Word, PowerPoint).
  • Habilidades Blandas: Organizado, perspicaz, confiable, con fuertes habilidades de comunicación (escrita y verbal).
  • Educación: Se requiere título universitario.
