Executive Support Specialist

We are seeking a highly skilled and experienced Senior Project Support Specialist to join our team at ASRC Federal. This is a full-time in-office position that requires a high level of administrative support to a NASA contract in Washington D.C.
Key Responsibilities- Calendar Management: Coordinate and manage calendars for senior management team members, ensuring key meetings are covered and scheduled accordingly.
- Meeting Logistics: Arrange meeting rooms, conference calls, and travel arrangements for team members, including international and invitational travel.
- Administrative Support: Provide administrative support to the Astrophysics Division, including preparing travel authorizations, vouchers, and other documents as required.
- Database Management: Maintain databases that reflect the status of administrative requirements and systems.
- Correspondence Review: Conduct technical reviews of correspondence prepared for signature by organization executives to ensure consistency with agency procedures.
- System Management: Work with the Headquarters Action Tracking System (HATS) and Partnership Agreement Maker (PAM) to ensure all SMD actions are being actively addressed.
- Meeting Support: Provide support for key meetings, including establishing call-in lines, taking notes, and creating sign-in lists.
- Presentation Development: Create presentations for the division in support of meetings.
- Milestone Planning: Develop and support Directorate milestone planning activities.
- Customer Support: Provide recommendations for customers, including meeting attendance, communications, and notices to keep them informed.
- Security Clearance: Track division personnel with security clearance access and assist them in setting up classified briefings.
- Visitor Support: Support domestic and foreign visitors to NASA HQ division offices, including processing required paperwork and communicating with authorized escorts.
- Education: Bachelor's degree and 3-4 years of experience or 7-8 years in lieu of education.
- Experience: Executive administrative and office experience preferred. Travel arranging experience highly desired.
- Skills: Proficient in Microsoft Word, PowerPoint, Excel, and Outlook. Experience with Google Docs, Forms, and Calendar is a plus.
- Personal Qualities: High degree of accuracy, organization, consistent attention to detail, and high level of productivity. Strong capability to learn new software tools and systems quickly and independently.
We offer a competitive pay range of $61,499 - $92,249 depending on experience, seniority, geographic locations, and other factors permitted by law. Benefits offered may include health care, dental, vision, life insurance, 401(k); education assistance; paid time off including PTO, holidays, and any other paid leave required by law.
