As an Administrative Assistant, you will be responsible for providing administrative support to the office Director and management team, ensuring the smooth operation of the office.

Key Responsibilities
  • Administrative Support: Provide administrative support to the office Director and management team, including handling a wide variety of situations involving administrative functions.
  • Office Management: Maintain suite security, support operations, and submit parking requests, visit requests, and burn bag runs.
  • Communication: Contact or reply to contacts from high-ranking individuals, using judgment and discretion to handle unique situations.
Typical Functions
  • Calendar Management: Manage and brief the Director's calendar daily, maintaining situational awareness and deconflicting with leadership and conference room calendars.
  • Task Management: Act as the office action officer for taskers within the Correspondence and Task Management System (CATMS), maintaining awareness of active tasks, identifying new tasks, and documenting actions and close out.
  • Travel Arrangements: Manage the Director's travel through the Defense Travel System (DTS), developing trip packages, briefing the Director, and troubleshooting as needed.
  • Meeting Coordination: Organize and arrange for staff members to represent the organization at meetings and engagements, using own initiative.
  • Commitment Tracking: Note commitments made by executives during meetings and arrange for staff implementation.
  • Request Handling: In the Director's absence, ensure that requests for action or information are relayed to the appropriate staff member.
  • Correspondence: Prepare correspondence, monthly reports, and office responses to RFIs.
Qualifications
  • Bachelor's degree
  • 5 years of relevant experience supporting a Pentagon office or similar environment
  • Excellent organizational and time management skills
  • Demonstrated experience with SharePoint, CATMS, and DTS
  • Familiarity with federal government contracting
  • Top Secret Clearance
