This is a pivotal moment for IS. Recently, we welcomed Dr. Akilah Watkins, the first woman of color to assume the role of President and CEO. We successfully reconvened our first in-person national conference, Upswell, in Dallas, Texas, after a hiatus since 2019, bringing together hundreds of national leaders committed to an equitable future. In response to significant decisions made by the Supreme Court regarding Affirmative Action, we reaffirmed our dedication to disseminating critical knowledge and resources, collaborating with the Council on Foundations to develop an amicus brief that supports racial equity initiatives. Recognizing the importance of advocacy, we have established strong relationships with the White House and Congress. Our national listening tour in cities such as Chicago, New York City, Atlanta, Minneapolis, Dallas, and Seattle allowed us to gather insights directly from organizers, funders, and institutional leaders regarding the challenges and opportunities facing our sector. We plan to expand this dialogue in additional cities.

ROLE OVERVIEW


The Executive Assistant is integral in delivering high-level administrative support to C-suite executives, ensuring seamless office operations. This role demands a blend of organizational, communication, and interpersonal skills, alongside the capacity to manage confidential information with utmost discretion.

KEY RESPONSIBILITIES


• Maintain an accurate calendar of meetings and commitments for the C-suite team.
• Draft and edit correspondence, memos, and documents on behalf of executives.
• Assist in planning and coordinating special projects, events, or initiatives.
• Collaborate with the Chief of Staff to ensure effective processes that enhance office functionality and professionalism.
• Coordinate travel arrangements, itineraries, and accommodation logistics.
• Screen and direct communications appropriately.
• Prepare briefing materials for meetings and events, ensuring executives are well-informed.
• Organize materials for meetings, presentations, and reports.
• Schedule meetings and briefings involving the C-suite and respective teams or external partners.
• Provide administrative support for complex matters, including travel arrangements and expense reports.
• Maintain contact lists and databases, ensuring accuracy and confidentiality.
• Manage office files, both physical and digital, ensuring proper documentation and record-keeping.

QUALIFICATIONS


• High school diploma required; five years of experience in providing administrative support to top executives or related roles.
• Ability to work collaboratively and independently with minimal supervision.
• Proficient in preparing and maintaining records, files, and reports.
• Strong communication skills, both verbal and written.
• Ability to handle challenging situations professionally.
• Skilled in problem-solving and evaluating options.
• Proficient in Microsoft Office suite and Salesforce.
