Job Summary

We are seeking an experienced Office Supervisor to oversee and coordinate the work activities of defined work units in the areas of administrative support, fiscal, clerical, and/or general office. The ideal candidate will have a strong background in office management and be able to provide guidance, direction, and training to subordinate staff.

Key Responsibilities
  • Perform complex administrative and clerical tasks related to the FQHC LAL scope of work.
  • Prepare or review FQHC LAL production documents used to monitor work, clinical site visits, special projects, FQHC LAL Consumer Board of Directors, compliance.
  • Monitor work and make initial documentation of performance issues.
  • Provide guidance, direction, and training to subordinate staff.
  • Gather data to verify the accuracy of information and identify complex or unusual problems.
  • Prepare reports and summaries of work production.
  • Analyze individual problems and take appropriate action to provide resolutions.
  • Interpret, explain, and apply FQHC LAL standards, policies, and procedures.
  • Prioritize workloads, schedule work, coordinate work functions, assess workflow, and monitor final work product for compliance with policies and procedures.
  • Train and evaluate the work performance of subordinate staff.
  • Develop performance expectations and objectives.
  • Handle employee performance issues and resolve conflicts.
  • Recommend and implement work procedures and methods.
  • Compile required and special reports on operating functions.
  • Interview, select, and assist in hiring new employees.
  • Conduct staff meetings of subordinate personnel.
  • Perform other duties as required or assigned.
Requirements
  • Equivalent to five years of experience in a general office environment.
Selection and Appointment

A selection committee will evaluate the qualifications of each applicant, which will include recentness and appropriateness of the applicant's education and experience, answers to the supplemental questions, results of employment references investigated, and any other appropriate information available.

The selection committee will admit to the interview only those persons who possess the most job-related qualifications and may establish admittance criteria beyond the minimum qualifications stated above.

The interview will comprise 100% of the applicant's earned grade. A candidate must earn a qualifying grade of 70 or more on the interview to be eligible for appointment.

After initial interviews with the selected candidates are conducted, an email will be sent to the address on file with instructions on how to complete and submit a Conviction Questionnaire.

Candidates have 3 days to complete the required questionnaire.

The five top-ranking candidates, based on the final grade, will be certified to the Department Director/Appointing Authority who will make the final decision.

All applicants conditionally offered a merit position will be required to submit to urinalysis to screen for illegal drug use prior to appointment.

Screening will be performed by a reputable clinical laboratory. The cost of screening will be covered by the County.

Additionally, new employees will have 30 calendar days, after their first day of employment, to attest to their COVID-19 vaccination status.

Instructions on how to submit this attestation will be provided once employment has begun.

County employees are not required to be fully vaccinated, but those who are not fully vaccinated must submit to weekly COVID-19 testing until they are fully vaccinated or St.

Louis County geographically reaches a 70% vaccination rate and a moderate transmission level of COVID-19 as defined by the Centers for Disease Control and Prevention.
