Otolaryngology Clinic Operations Supervisor

The Otolaryngology Clinic Operations Supervisor will be responsible for managing the administrative and patient care functions of the clinic. This role includes overseeing front desk personnel, coordinating back office operations with nursing leadership, and ensuring effective management of clinical services and physical resources.

  • Operational Management: Oversee appointment scheduling and referrals, ensuring efficient patient flow and strong relationships. Manage medical records, patient registration, and compliance with appointment scheduling. Track patient charges and financial performance.
  • Quality Assurance: Lead and coordinate patient care initiatives, assess their effectiveness, and implement improvements. Ensure adherence to regulatory requirements and prepare for inspections.
  • Financial Oversight: Supervise patient charge processes, ensure compliance with purchasing policies, and engage in budget development.
  • Security Management: Enforce security protocols, collaborate with safety departments, and uphold security standards.
  • Administrative Leadership: Set objectives, analyze workload data, act as a liaison between the clinic and hospital services, and oversee the quality of patient care.
  • Human Resources Management: Direct staff supervision, recruitment, training, performance evaluation, counseling, and professional development.
  • Budget and Financial Management: Ensure operational activities remain within budget, plan annual financial forecasts, and manage equipment inventory and contracts.
  • Communication and Problem Resolution: Act as the primary contact for resolving issues, managing workload, addressing incidents, and investigating complaints.

Essential Qualifications:

  • High school diploma or equivalent
  • Bachelor's degree in a relevant field
  • Experience may substitute for educational requirements
  • 2-3 years of management experience in outpatient healthcare operations
  • Strong skills in people management, communication, and problem-solving
  • Proficiency in Microsoft Office and process improvement methodologies
  • Excellent organizational and time management skills

Preferred Qualifications:

  • Experience in managing a multi-specialty clinic is preferred

Required Certifications:

  • Completion of Fire Life Safety Training (LA City) within 30 days of hire and maintenance through renewal
