Key Responsibilities

Under the guidance of the Clinic Manager, the Clinic Lead is tasked with providing direction to Patient Care Coordinators, Medical Assistants, and Operators, while ensuring smooth clinic operations, patient care, and customer service. The Clinic Lead will execute various responsibilities related to care delivery. As a leader, the Clinic Lead will exemplify peer leadership and foster consistent collaboration among front and back-office teams.

Essential Duties
  1. Facilitates leadership among Front and Back Office personnel.
  2. Collaborates with clinic staff to deliver high-quality care and efficient service to patients while maintaining patient confidentiality in compliance with HIPAA regulations.
  3. Assists in scheduling providers.
  4. Oversees prescription refill management.
  5. Maintains clinical signage and patient information.
  6. Monitors and updates patient registrations and consent forms.
  7. Aids the Clinic Manager in training, orientation, and mentoring of Patient Care Coordinators, Medical Assistants, and Operators by assessing ongoing clinical education and training requirements.
  8. Coordinates procurement of office supplies and equipment to ensure availability for patient care services.
  9. Communicates with providers regarding chart note closures and security.
  10. Participates in regular EHR training sessions and attends all team and staff meetings, as well as relevant continuing education programs. Distributes new information to Patient Care Coordinators and Operators through group training and communication.
  11. Assists the Clinic Manager in preparing for audits conducted by County and Managed Care.
  12. Ensures that all medical records are established and maintained according to standards.
  13. Adds and removes alerts in patient records as necessary.
  14. Maintains a tidy and organized work environment at all times.
  15. Consistently arrives on time and is prepared to begin work at the start of the day, avoiding misuse of sick leave.
  16. Opens and closes the clinic as directed by the supervisor.
  17. Assists the Clinic Manager with special projects and other assigned tasks.
Secondary Responsibilities
  1. Provides support in ordering clinic supplies.
  2. On-call support for alarm services.
  3. Reviews medication orders to ensure accurate preparation of medications.
Supervisory Duties

The individual in this role will provide leadership support to front and back-office staff.

Work Environment

This position is situated in a medical clinic that is clean and comfortable, though it may include minor disturbances such as noise, odors, or drafts. The incumbent operates in a non-confined setting, allowing for free movement.

Occasionally, the employee may encounter emotionally distressed patients or family members.

Physical Requirements

In performing this role, the incumbent:

  • Will spend considerable time standing, sitting, speaking, and listening.
  • Will reach, stoop, bend, kneel, crouch, and lift supplies and equipment.
  • Must regularly lift and/or move up to 25 pounds and occasionally assist in lifting patients, for which assistance must be obtained.
  • Must utilize personal protective equipment in accordance with policies.

Equipment and Software Operation

The incumbent may operate various equipment, including:

  • Multiple-line telephones, cell phones, and fax machines.
  • Computers, printers, and related equipment.
  • Copy machines.

Computer software may include:

  • Patient record and billing software.
  • Microsoft Office.
  • Internet browsers.
Position Requirements

These specifications serve as general guidelines based on the minimum experience typically considered essential for satisfactory job performance. Individual capabilities may lead to some variation from these guidelines.

To succeed in this position, the incumbent must possess:

  • A working knowledge of medical terminology.
  • Three or more years of experience in a medical office, clinic, or healthcare facility (preferably FQHC).
  • A high school diploma or equivalent; completion of a recognized medical secretarial program is preferred.
  • Satisfactory qualifications for Certified Medical Assistant, LVN, or Phlebotomist.
  • One year of supervisory experience.
  • A working knowledge of standard medical records maintenance policies, practices, and laws.
  • Basic understanding of clinic policies and procedures.
  • Strong clerical and administrative skills, including proficiency in personal computers, particularly in medical word processing and spreadsheets.
  • Able to manage multiple phone lines.
  • Ability to maintain strict confidentiality regarding sensitive patient information.
  • Excellent interpersonal skills, including oral communication and customer service abilities.
  • Capability to work effectively with individuals from diverse cultures, ages, and economic backgrounds.
  • Detail-oriented and task-focused.
  • Ability to manage constant interruptions effectively.
  • Bilingual proficiency in English and Spanish, both written and verbal.
  • Ability to follow established routines while being alert to variations and making decisions accordingly.
  • Must maintain organized and accurate records.
  • Ability to foster teamwork and maintain cooperative relationships with staff, patients, and providers.
