Ripple Effect is seeking an Event Management Specialist with a minimum of three years of relevant experience to enhance our client's objectives. This position will collaborate closely with the events team within the Communications Division, providing comprehensive support before and after conferences, including logistics, marketing, procurement, audiovisual needs, venue coordination, and scheduling for virtual, hybrid, and in-person gatherings.

Key Responsibilities

  • Assist in the preparation of conference materials, including agendas, briefing documents, presentations, travel arrangements, and accommodation details.
  • Compile post-event reports featuring summaries, key insights, and performance metrics.
  • Develop and maintain event timelines to ensure all client requirements are fulfilled.
  • Oversee the technical components of all events.
  • Facilitate the registration process and maintain accurate registration records.
  • Research, coordinate, and liaise with vendors.
  • Create detailed meeting minutes and summaries, along with post-event evaluations.
  • Analyze data collected during events to derive actionable insights.
  • Perform additional duties as assigned.

Qualifications

Minimum Education and Experience

  • High School Diploma
  • 3 years of relevant professional experience

Essential Skills

  • Proficient in administering event platform software (e.g., Zoom, Cvent).
  • Willingness to report to the headquarters or client sites as needed for events and meetings.
  • Experience in coordinating both small and large-scale events.
  • Skilled in designing and preparing agendas, run-of-show documents, and other meeting materials.
  • Ability to create and follow detailed event task lists.
  • Capable of producing high-quality, client-ready meeting documents.
  • Experience with speaker communication and tracking.
  • Proficient in setting up and managing virtual, hybrid, and in-person events.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Word and Excel.
  • Experience in vendor research and selection.
  • Exceptional organizational skills with a focus on detail.
  • Ability to think critically and manage time effectively.

Preferred Skills

  • Strong technical background with event platforms and production.
  • Bachelor's Degree (may substitute for years of experience).
  • Experience managing multiple concurrent events.
  • Creative and innovative approach to event planning and execution.
  • Familiarity with Microsoft Planner and/or Microsoft Project for task tracking.
  • Experience with event engagement tools (e.g., Q&A, polling, event applications).
  • Experience coordinating travel and reimbursements for attendees.
  • Ability to analyze event metrics and performance data.
  • Experience supporting events for government clients.
  • Possession of CGMP certification.
