Glocap, a leading investment advisory firm, is looking for an Office Manager to enhance our operational efficiency. The successful candidate will possess a meticulous attention to detail, an entrepreneurial spirit, and a positive attitude, embracing a mindset where no task is too small. This position will report directly to the General Counsel (COO, CCO, GC).

Key Responsibilities:

  • Welcoming and assisting visitors while preparing conference rooms for meetings.
  • Overseeing the maintenance of the office environment, which includes managing conference room bookings, replenishing office supplies and pantry items, and coordinating with building security and engineering services.
  • Providing human resources support, including collaborating with the COO on onboarding and offboarding processes, as well as IT assistance.
  • Working alongside the COO to ensure that third-party service providers (IT, telecommunications) are responsive to employee requirements.
  • Managing IT inventory and procurement of devices.
  • Offering administrative support, including backing up the Founder's Executive Assistant with scheduling and limited travel arrangements.
  • Collaborating with compliance teams to manage the research calendar and related documentation.
  • Assisting the operations team with bookkeeping tasks, such as invoice management.
  • Partnering with the COO on special initiatives, including compiling insurance applications and organizing firm social events.
  • Maintaining records in designated software (Confluence).

Qualifications:

  • Bachelor's degree with a minimum of 5 years of relevant experience, ideally within the financial services sector.
  • A collaborative team player with the ability to coordinate effectively with colleagues.
  • Service-oriented, mature, and confident, capable of managing multiple priorities simultaneously.
  • Proactive and able to work independently, demonstrating strong problem-solving abilities.
  • Highly organized, intelligent, and curious.
  • Persistent and solutions-focused, with the capability to conceive, plan, and execute projects.
  • Professional demeanor with the ability to handle sensitive information discreetly.
  • Comfortable navigating various technology platforms (e.g., Microsoft Office Suite – PowerPoint is a plus, CorpAxe, Confluence).
  • Verification of identity, education, prior employment, and references may be required.
