Job Summary

Northern Star Scouting is seeking an experienced Accounting and Financial Expert to join our team as a Financial Operations Specialist. This role will be responsible for providing financial support to our growing youth development programs.

Key Responsibilities
  • Revenue Accounting
    • Partner with the Development team to obtain and problem-solve pledge and payment details from donor databases and create journal entries to record fundraising revenue in the general ledger as required.
    • Reconcile pledges receivable and contributed revenue for each campaign and special event from supporting systems/records to the general ledger on a quarterly basis.
    • Balance daily transmittal batches from Contributions Journal (CJ) and Membership Journal (MJ) to the general ledger.
    • Upload the import from registration systems into the general ledger, verify accuracy, and post uploads.
    • Partner with the Camping team to obtain, enter, and problem-solve weekend, summer, and winter camp transmittals.
    • Balance camping deferred revenues and receivables together with the Controller.
    • Maintain working knowledge of Black Pug system; assist the Controller in managing Black Pug point-of-sale accounts.
    • Assist in processing credits and refunds through Black Pug.
    • Work with the Controller, Registrars, and Field Team to reconcile membership activity from BSA systems to bank deposits and general ledger.
  • Fixed Assets
    • Maintain fixed asset inventories in the Asset Management system.
    • Review expense transactions for potential capitalizable items; process fixed asset additions as needed.
    • Coordinate annual fixed asset inventories with the Director of Camping and Properties and Camp Rangers. Record asset disposals as needed.
    • Process monthly depreciation entries.
  • Inventory Accounting
    • Work with the Controller, Camp Directors, and Camp Rangers to maintain accurate trading post inventories.
    • Assist Camp Directors in setting up and maintaining inventories in our point-of-sale system.
    • Calculate cost of goods sold and post related entries monthly.
    • Calculate and file Minnesota and Wisconsin sales tax monthly.
  • Reconciliations
    • Complete monthly/quarter/annual general ledger reconciliations as assigned.
    • Research reconciling items and differences, work with applicable team members or post journal entries to clear.
  • Payroll Processing
    • Maintain regular and seasonal payrolls for assigned councils.
    • Onboard new employees in our payroll system (ADP), including coordination with Scouting America Human Resources to obtain required codes.
    • Process payroll transactions in support of employee changes (e.g., compensation changes, deduction changes)
    • Process semi-monthly payrolls including upload to general ledger.
    • Process 403(b) contributions with Fidelity.
    • Reconcile payroll accounts to general ledger.
  • Ad-hoc Research and Analysis
    • Support the CFO and Controller in completion of research and analysis to support senior management and board-level decision making.
    • May include analysis of past results and trends, forecast of future activity, scenario analysis, and development of proformas to model potential changes or new approaches.
  • Process Improvement and Automation
    • In all aspects of the job, look for opportunities to improve efficiency and accuracy through process reengineering and/or automation.
    • Design potential solutions, considering both internally developed processes/automation and vendor solutions.
    • Test, implement, and document revised processes.
    • Train impacted Northern Star team members on new process.
Requirements
  • Bachelor's degree in accounting, finance, or business.
  • Two+ years of related experience, preferably in a non-profit organization.
  • Numeric aptitude, detail-orientation, accurate.
  • Advanced skills in Microsoft Office (Excel [including pivot tables], Word, Outlook, and PowerPoint).
  • Able to work in a fast-paced environment, sometimes under pressure and with frequent interruptions, while maintaining composure and positive attitude.
  • Ability to handle a large volume of data and multi-task with accuracy and quick turn-around.
  • Ability and desire to adapt to changing technologies and methods.
  • Effectively manage time and responsibilities to achieve expected results timely and accurately.
  • Able to operate general office equipment (telephone systems, printers/copiers).
  • Occasional heavy lifting up to 40 pounds.
  • Able to keyboard for long periods and be able to perform repetitive and stretching motions.
  • Must occasionally drive personal vehicle for Northern Star business (e.g., making bank deposits); will be reimbursed for mileage at Northern Star approved reimbursement rate. Must provide proof of valid driver's license. Must carry automobile insurance at the minimum levels of $100,000/$300,000/$100,000. Must provide copy of proof of automobile insurance coverage each time it renews.
  • Schedule is generally Monday-Friday during business hours; however, must be able to work long, irregular hours when needed, including some early mornings, evenings, and weekends as required by workload. Must be able to maintain regular attendance.
  • Knowledge of Scouting is helpful but not required.
