Job Overview

Legal Aid Bureau is dedicated to providing essential civil legal support to individuals in need. Our mission has been to deliver high-quality legal services to low-income and marginalized communities, empowering them to navigate their legal challenges and achieve stability.

We are currently seeking a full-time Administrative Assistant to join our team. This role is vital in ensuring the smooth operation of our office by performing various clerical and administrative tasks.

Key Responsibilities:

  • Welcome clients and visitors, manage multi-line phone systems, take messages, and provide appropriate referrals.
  • Coordinate appointments and maintain schedules, logs, and calendars for the office.
  • Oversee mail management, including logging, sorting, distributing, and scanning incoming and outgoing correspondence.
  • Offer administrative assistance, such as typing legal documents and general correspondence, while supporting staff with document formatting, printing, and scanning.
  • Organize and update legal forms, brochures, and other informational materials.
  • Maintain office filing systems, ensuring efficient filing, retrieval, and purging of documents.
  • Ensure the upkeep of office equipment, including computers, printers, and copiers, while keeping the workspace organized.
  • Provide temporary coverage for other administrative roles as needed.
  • Perform general office duties as assigned and assist in the efficient operation of the unit.

Qualifications:

  • A high school diploma or GED equivalent, with experience in an office environment.
  • Reliable, self-motivated, and personable with strong communication and telephone skills.
  • Ability to produce grammatically correct documents in the appropriate format.
  • Excellent customer service skills, with the capacity to empathize and assist individuals in distress.
  • Ability to thrive in a fast-paced work environment.
  • Capacity to manage high-volume workloads effectively.
  • Proficient in Microsoft Office applications and willing to learn new software.
  • Fluency in Spanish is highly desirable.
  • Prior legal experience is a plus but not mandatory.

Work Environment:

This position typically operates within a standard office setting, involving regular telephone communication, videoconferencing, instant messaging, email correspondence, and in-person interactions.
