Compensation Details

The pay range for this position is as follows:

  • $38.03 per hour for the 405.3 level
  • $43.67 per hour for the 405.4 level

Please note that these figures serve as general guidelines. Starting pay is influenced by factors such as education, experience, and market conditions.

Position Overview

We are seeking an Administrative Specialist to perform a variety of moderately complex administrative tasks with limited supervision. This role is set within a dynamic environment characterized by frequent interruptions and shifting priorities, supporting the Manufacturing Engineering Section in the Materials Engineering Division.

This position allows for a hybrid work schedule, offering the flexibility to work remotely on certain days.

This role may be filled at either level based on the candidate's qualifications and experience. Additional responsibilities may be assigned if hired at the higher level.

Key Responsibilities

  • Act as a liaison for management, providing guidance on organizational policies and procedures.
  • Collect and compile information from various sources to prepare detailed reports and presentations.
  • Maintain and organize databases, spreadsheets, and filing systems.
  • Schedule appointments and manage calendars independently.
  • Coordinate external visits, ensuring security clearances and preparing necessary documentation.
  • Arrange travel logistics and itineraries.
  • Facilitate internal and external interviews.
  • Serve as a backup Time and Absence Coordinator (TAC).
  • Perform additional duties as assigned.

Additional Responsibilities for the 405.4 Level

  • Manage complex scheduling and prioritize large meetings.
  • Assist in the coordination of the Machinist Apprentice Program.
  • Draft sensitive administrative materials for approval.
  • Interpret and apply institutional policies and procedures.

Qualifications

  • Ability to obtain and maintain a U.S. DOE Q-level security clearance, requiring U.S. citizenship.
  • Proven administrative skills, including proficient keyboarding, editing, and proofreading.
  • Strong organizational skills with attention to detail and accuracy.
  • Experience working autonomously in a fast-paced environment with changing priorities.
  • Excellent communication and interpersonal skills to engage with a diverse workforce.
  • Demonstrated problem-solving abilities and decision-making skills.
  • Self-motivated and adaptable, with the ability to handle sensitive information discreetly.
  • Intermediate proficiency in Microsoft Office Suite and other relevant software.
  • Experience in arranging domestic and international travel.

Preferred Qualifications

  • Familiarity with COSMOS Timecard System.
  • Knowledge of LLNL business applications and processes.
  • Understanding of LLNL policies and procedures.

Security Clearance Requirements

This position necessitates a Department of Energy (DOE) Q-level clearance. A Federal background investigation will be initiated to assess eligibility for access to classified information.
