Compensation Details

The pay range for this position is as follows:

  • $38.03 per hour for the 405.3 level
  • $43.67 per hour for the 405.4 level

Position Overview

We are seeking an Administrative Specialist to provide comprehensive support in a fast-paced environment with frequent interruptions and shifting priorities. This role will primarily assist the Manufacturing Engineering Section within the Materials Engineering Division.

This position offers a hybrid work schedule, allowing for both in-person and remote work flexibility.

This role may be filled at either level based on the candidate's qualifications and experience. Additional responsibilities may be assigned for the higher level position.

Key Responsibilities

  • Act as a liaison for management and provide guidance on daily operational matters.
  • Collect and analyze information from various sources to prepare detailed reports and presentations.
  • Maintain and organize databases, spreadsheets, and filing systems.
  • Manage calendars and schedule appointments independently.
  • Coordinate external visits, ensuring security clearances and preparing necessary documentation.
  • Arrange travel logistics and itineraries.
  • Facilitate internal and external interviews.
  • Serve as a backup Time and Absence Coordinator (TAC).
  • Perform additional duties as required.

Additional Responsibilities for 405.4 Level

  • Oversee complex scheduling and prioritize large meetings.
  • Assist in the coordination of the Machinist Apprentice Program.
  • Draft sensitive administrative documents for approval.
  • Interpret and apply institutional policies and procedures.

Qualifications

  • Must be able to obtain and maintain a U.S. DOE Q-level security clearance, requiring U.S. citizenship.
  • Proven administrative experience with strong skills in keyboarding, editing, and proofreading.
  • Excellent organizational skills with a keen attention to detail.
  • Experience working independently in a dynamic environment with competing priorities.
  • Strong communication and interpersonal skills to engage effectively with a diverse workforce.
  • Ability to solve problems and make informed decisions regarding administrative issues.
  • Self-motivated with the ability to handle sensitive information with discretion.
  • Intermediate proficiency in Microsoft Office Suite and other relevant software.
  • Experience in arranging travel both domestically and internationally.

Preferred Qualifications

  • Familiarity with COSMOS Timecard System.
  • Knowledge of LLNL business applications and processes.
  • Understanding of LLNL policies and procedures.

Security Clearance Requirement
