Compensation Details

The hourly pay ranges from $38.03 for the 405.3 level to $43.67 for the 405.4 level. This range serves as a general guideline, with various factors influencing starting pay, including education and experience.

Position Overview

We are seeking an Administrative Specialist to provide comprehensive administrative support within the Manufacturing Engineering Section of the Materials Engineering Division. This role requires the ability to manage multiple tasks in a fast-paced environment.

This position offers a hybrid work schedule, allowing for a blend of in-person and remote work.

Key Responsibilities

  • Act as a liaison for management, addressing routine inquiries and providing guidance on organizational policies.
  • Collect and analyze data to prepare detailed reports and presentations.
  • Maintain and organize databases, spreadsheets, and filing systems.
  • Schedule appointments and manage calendars independently.
  • Coordinate external visits, ensuring all security clearances and agendas are prepared.
  • Organize travel arrangements and itineraries.
  • Facilitate internal and external interviews.
  • Serve as a backup Time and Absence Coordinator (TAC).
  • Perform additional duties as required.

Additional Responsibilities for Higher Level

  • Manage complex scheduling and prioritize large meetings.
  • Assist in the coordination of the Machinist Apprentice Program.
  • Draft sensitive administrative documents for approval.
  • Interpret and apply institutional policies and procedures.

Qualifications

  • Must be able to obtain and maintain a U.S. DOE Q-level security clearance, requiring U.S. citizenship.
  • Proven administrative skills, including proficiency in keyboarding, editing, and office procedures.
  • Strong organizational abilities with attention to detail and accuracy.
  • Experience working autonomously in a dynamic environment with shifting priorities.
  • Excellent communication skills to interact effectively with a diverse workforce.
  • Demonstrated problem-solving capabilities and decision-making skills.
  • Self-motivated with the ability to handle sensitive information discreetly.
  • Intermediate proficiency in Microsoft Office Suite and other relevant software.
  • Experience in arranging travel logistics.

Preferred Qualifications

  • Familiarity with COSMOS Timecard System.
  • Knowledge of LLNL business applications.
  • Understanding of LLNL policies and procedures.
