Job Overview

Position Title: Office Coordinator
Department: Children, Youth and Family Services
Reports To: Office Manager, CYFS

POSITION SUMMARY: This role is essential in delivering comprehensive administrative assistance across all programs within the Children, Youth, and Family Services division of Washington County Mental Health Services.

KEY RESPONSIBILITIES:

  • Serve as the first point of contact, providing administrative support to program and division directors, as well as direct care personnel for all CYFS initiatives.
  • Manage multi-line phone systems, ensuring effective communication across locations.
  • Facilitate secure access to various facilities through controlled entry systems.
  • Assist mental health professionals by scheduling appointments, preparing referral documentation, and ensuring timely communication with clients.
  • Conduct computerized assessments and maintain accurate records of behavioral health evaluations.
  • Create and manage spreadsheets, design promotional materials, and prepare presentations as required by program managers.
  • Digitally archive documents and maintain electronic medical records.
  • Handle incoming and outgoing correspondence, including faxes and interagency communications.
  • Provide notary services and maintain filing systems for organizational records.
  • Coordinate the scheduling of conference rooms and manage office supply inventories.
  • Oversee daily postal operations, including mailing and postage management.
  • Maintain a comprehensive staff directory with contact information for emergency situations.
  • Act as a liaison between staff and various departments, ensuring smooth operational workflows.
  • Participate in agency committees and adhere to privacy regulations.
  • Perform additional duties as assigned to support the agency's mission.

QUALIFICATIONS:
Education:
Required: High School Diploma
Experience:

  • A minimum of three years in progressively responsible administrative roles, ideally within a human services context.
  • Professional demeanor and adherence to appropriate workplace attire.
  • Exceptional interpersonal and communication skills, both in person and over the phone.
  • Ability to manage multiple tasks efficiently.
  • Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and familiarity with Publisher and PowerPoint.

Position responsibilities are primarily office-based, with potential travel requirements. Candidates should be prepared for a dynamic work environment.
