Key Responsibilities
The Administrative Assistant will deliver comprehensive administrative support across the human resources division. This position necessitates a high degree of professionalism, discretion, and the capacity to juggle multiple priorities in a dynamic work environment.
Primary Duties Include:
- Welcome employees and visitors to the HR department, ensuring a positive experience.
- Assist in the organization and scheduling of HR meetings, in-person interviews, and events, including some corporate gatherings.
- Support recruiters with coordination of interview schedules and troubleshooting any technical issues.
- Manage the receipt and distribution of office correspondence.
- Accurately prepare and process expense reports in a timely manner.
- Oversee HR contracts, including the management of renewals.
- Process purchase orders and maintain appropriate documentation.
- Aid in the maintenance and updates of HR records and database modifications.
- Update the HRIS Database for specific employee changes.
- Proofread and prepare documents and correspondence generated by the department.
- Generate and extract reports utilizing our HRIS and Excel.
- Address and fulfill various ad hoc requests from the HR team as necessary.
- Perform other related duties as assigned.
Required Qualifications
- A minimum of 3 years of experience in an Administrative Assistant role or a similar administrative capacity.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
- Familiarity with database systems is required.
- Ability to handle sensitive information with discretion and confidentiality.
- Capability to work independently as well as collaboratively within a team.
- Detail-oriented with a proactive approach to problem-solving.
- Must possess the ability to prioritize projects effectively.
