Key Responsibilities

The Administrative Assistant will deliver comprehensive administrative support across the human resources division. This position necessitates a high degree of professionalism, discretion, and the capacity to juggle multiple priorities in a dynamic work environment.

Primary Duties Include:

  • Welcome employees and visitors to the HR department, ensuring a positive experience.
  • Assist in the organization and scheduling of HR meetings, in-person interviews, and events, including some corporate gatherings.
  • Support recruiters with coordination of interview schedules and troubleshooting any technical issues.
  • Manage the receipt and distribution of office correspondence.
  • Accurately prepare and process expense reports in a timely manner.
  • Oversee HR contracts, including the management of renewals.
  • Process purchase orders and maintain appropriate documentation.
  • Aid in the maintenance and updates of HR records and database modifications.
  • Update the HRIS Database for specific employee changes.
  • Proofread and prepare documents and correspondence generated by the department.
  • Generate and extract reports utilizing our HRIS and Excel.
  • Address and fulfill various ad hoc requests from the HR team as necessary.
  • Perform other related duties as assigned.

Required Qualifications

  • A minimum of 3 years of experience in an Administrative Assistant role or a similar administrative capacity.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Familiarity with database systems is required.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Capability to work independently as well as collaboratively within a team.
  • Detail-oriented with a proactive approach to problem-solving.
  • Must possess the ability to prioritize projects effectively.
