Executive Assistant to Creative

Seattle, Washington, United States Project 562 Full time
Job Summary

Project 562 is seeking a highly skilled and motivated Executive Assistant to support the Creator and Director in their daily operations.

This is a full-time position (40 hours/week) with the possibility to become full-time. The work will be partly in-person and partly remote -- these terms can be negotiated. For the right candidate, this flexibility will be part of its appeal. If you are interested in storytelling and social impact, you will learn a great deal. One of the special aspects of this position is that it can be partly molded around your own interests and abilities, and for the right candidate, will certainly evolve over time to align with your strengths and ambitions.

The ideal candidate will be a strong leader with good judgment, an eye for accuracy, consistent character, and the unique ability to attend to details and get things done in an organized fashion. A high level of integrity and professionalism is critical, as is a good sense of humor. A proven track record of taking initiative, working independently, delivering exceptional results, and exceeding expectations is important.

The most successful candidate will be an effective communicator, both verbally and with written correspondence, possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. He/she will also have other "special" skill-sets that add value to the ongoing efforts of Project 562; experience in areas such as public-relations, social media, video editing, graphic design, web-design, grant-writing, and proposal-writing are all indicators of an ideal candidate.

Think high-level executive assistant meets production coordinator, meets all-star dynamic office manager who keeps a thousand different trains running on time.

Key Responsibilities:

  • Manage complex calendar and scheduling requirements
  • Manage travel and expenses
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Plan and coordinate production schedule of photo shoots
  • Assist with document design, writing, editing, and formatting as needed
  • Act as a liaison for direct reports
  • Coordinate exhibitions and gallery shows
  • Occasional travel to exhibition openings
  • Conduct online research
  • Coordinate team
  • Be responsible for the shipping and receiving of exhibition materials
  • Other responsibilities around social media, video editing (An A+ if you have video editing experience), or assistant producing depending on the skills and experience you are bringing to bear
  • Have fun and help others do the same
