Job Summary: We are seeking a Mechanical Service Coordinator who will oversee the dispatch and coordination of mechanical service technicians. This role includes managing pre-billing for all mechanical service work orders, preventive maintenance billings, project setups in ERP, parts ordering, payroll processing, and customer service data entry as needed. The coordinator will also collaborate with other coordinators to ensure seamless operations.

Key Responsibilities:

Customer Communication:

  • Act as the primary contact for clients, addressing inquiries and resolving issues.
  • Provide timely updates regarding service requests and schedule changes.
  • Facilitate communication between clients, engineering teams, and technicians throughout project administration.
  • Evaluate technician performance to ensure customer satisfaction.

Mechanical Service Billing:

  • Prepare pre-billing documentation for accounting.
  • Manage specific billing requirements for unique clients.
  • Investigate parts and material pricing for billing purposes.
  • Follow up on overdue service work orders for billing.
  • Resolve billing discrepancies and customer inquiries.
  • Conduct quality assurance on billings prior to submission.

Dispatching:

  • Receive and process service requests.
  • Create work orders and schedule technicians for service orders and preventive maintenance.
  • Assign tasks to technicians based on their skills and availability.
  • Confirm service appointments in advance.

Preventive Maintenance (PM):

  • Procure necessary materials for preventive maintenance.
  • Schedule and manage annual renewals.

Service Orders / Repairs:

  • Confirm receipt of materials and manage parts procurement.
  • Ensure subcontractors are scheduled as needed.
  • Review work order reports for quality and timely completion.

Qualifications/Skills and Knowledge Requirements:

  • Understanding of basic accounting principles.
  • Proficient in MS Office applications.
  • Familiarity with ERP accounting systems is advantageous.
  • Ability to collaborate effectively across departments.
  • Strong organizational skills and attention to detail.
  • Excellent problem-solving abilities.
