Job Summary: The Mechanical Service Coordinator plays a crucial role in the organization by overseeing the dispatch and coordination of mechanical service technicians. This position is responsible for the pre-billing of all mechanical service work orders and preventive maintenance billings, as well as managing projects, service orders, and quoted work set-up in the ERP system. The coordinator will also handle parts and material ordering, timecards, payroll, and customer service data entry as needed. Collaboration with the BAS Coordinator and Project Coordinator is essential to ensure coverage during shifts.
Key Responsibilities:
Customer Communication:
- Act as the primary contact for customers, addressing inquiries and concerns.
- Provide timely updates to customers regarding the status of their service requests and any schedule changes.
- Facilitate communication between customers, engineering, and technicians throughout project administration; assist in developing project scopes and proposals.
- Offer feedback on technician performance to meet customer expectations.
Mechanical Service Billing:
- Prepare pre-billing documentation for accounting purposes.
- Manage unique billing requirements for special customers.
- Research pricing for parts and materials for billing accuracy.
- Investigate overdue service work order tags for billing.
- Resolve billing issues, credits, rebills, and customer requests.
- Conduct quality assurance checks on billings before submission to accounting.
Dispatching:
- Receive and process service calls efficiently.
- Generate work orders and schedule technicians for service orders and preventive maintenance.
- Assign tasks to technicians based on their skills, availability, and location.
- Manage the COINS and Outlook calendar for scheduling.
- Confirm service calls in advance to ensure preparedness.
Preventive Maintenance (PM):
- Procure necessary materials for PM tasks.
- Schedule preventive maintenance activities and manage annual renewals.
Service Orders / Repairs:
- Oversee parts procurement and confirm receipt of materials.
- Ensure subcontractors are scheduled for necessary services.
- Review work order reports for quality and timely completion.
Qualifications/Skills and Knowledge Requirements:
- Understanding of basic accounting and finance principles.
- Proficient in MS Office applications.
- Familiarity with ERP+ accounting systems is advantageous but not mandatory.
- Ability to collaborate effectively across departments.
- Strong organizational skills with the ability to manage multiple tasks.
- Detail-oriented with strong problem-solving capabilities.
- Excellent interpersonal and communication skills.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Creative in utilizing skills and resources to achieve objectives.
