Job Summary: We are seeking a Mechanical Service Coordinator to oversee the dispatch and management of mechanical service technicians. This role includes pre-billing for all mechanical service work orders, managing Projects, PM's, Service Orders, and quoted work set-up in ERP, as well as handling parts and material procurement, timecard processing, payroll, and customer service data entry as needed. The coordinator will also collaborate with the BAS Coordinator and Project Coordinator to ensure seamless coverage during shifts.

Key Responsibilities:

Customer Communication:

  • Act as the primary contact for clients, addressing inquiries and concerns.
  • Provide timely updates regarding service requests and schedule changes.
  • Serve as a liaison among clients, engineering teams, and technicians throughout project administration; assist in project development, scope definition, and proposal preparation.
  • Offer feedback on technician performance to meet client expectations.

Mechanical Service Billing:

  • Prepare pre-billing documentation for accounting.
  • Manage unique billing requirements for specialized clients.
  • Research pricing for parts and materials for billing purposes.
  • Investigate overdue service work order tags for billing.
  • Resolve billing issues, credits, rebills, and customer inquiries.
  • Conduct quality assurance on billings prior to submission to accounting.

Dispatching:

  • Receive and process service calls efficiently.
  • Generate work orders and schedule technicians for service orders and preventive maintenance.
  • Assign tasks to technicians based on their expertise, availability, and location.
  • Manage scheduling tools and confirm service calls in advance.

Preventive Maintenance (PM's):

  • Procure necessary materials and schedule maintenance activities.
  • Handle annual renewals for service contracts.

Service Orders / Repairs:

  • Oversee parts procurement and confirm receipt of materials.
  • Ensure subcontractors are scheduled for necessary services.
  • Review work order reports for quality assurance and timely completion.

Qualifications/Skills and Knowledge Requirements:

  • Understanding of basic accounting principles.
  • Proficient in MS Office applications.
  • Familiarity with ERP+ accounting systems is advantageous but not mandatory.
  • Ability to collaborate effectively across departments.
  • Strong organizational skills with the capacity to manage multiple tasks.
  • Detail-oriented with problem-solving capabilities.
  • Excellent interpersonal and communication skills.
