Job Summary: The Mechanical Service Coordinator plays a crucial role in overseeing the dispatch and organization of mechanical service technicians. This position entails the pre-billing of mechanical service work orders, project management, service order setup in ERP systems, procurement of parts and materials, timecard management, payroll processing, and customer service data entry as necessary. The coordinator will also collaborate with other coordinators to ensure seamless operations.

Key Responsibilities:

Customer Interaction

  • Act as the primary contact for clients, addressing inquiries and resolving issues.
  • Provide timely updates to clients regarding the status of their service requests and any scheduling changes.
  • Serve as a liaison among clients, engineering teams, and technicians throughout project administration; assist in project development, scope definition, and proposal preparation.
  • Offer feedback on technician performance to ensure customer satisfaction.

Billing Management

  • Prepare pre-billing documentation for accounting purposes.
  • Handle unique billing requirements for specialized clients.
  • Conduct research on parts and material pricing for billing accuracy.
  • Investigate overdue service work orders for billing.
  • Resolve billing discrepancies, credits, and customer inquiries.
  • Perform quality assurance checks on billings prior to submission to accounting.

Service Dispatching

  • Receive and process service requests efficiently.
  • Create and manage work orders.
  • Schedule technicians for service orders and preventive maintenance tasks.
  • Assign tasks to technicians based on their expertise, availability, and geographical location.
  • Manage service confirmations and new site location documentation.

Preventive Maintenance Coordination

  • Procure necessary materials for preventive maintenance.
  • Schedule and manage annual renewals.

Repair and Service Orders

  • Oversee parts procurement and confirm receipt of materials.
  • Ensure subcontractors are scheduled for necessary services.
  • Review work order reports to ensure quality and timely completion.

Qualifications and Skills:

  • Basic knowledge of accounting and finance principles.
  • Proficient in MS Office applications.
  • Familiarity with ERP accounting systems is advantageous.
  • Strong collaborative skills across departments.
  • Ability to prioritize and manage multiple tasks effectively.
