We are seeking a highly organized and detail-oriented Front Office Check-In Administrative Assistant to join our team at Georgia Hand Shoulder & Elbow P C. The successful candidate will be responsible for facilitating patient care by effectively managing patient flow, ensuring accurate and timely processing of patient information, and providing exceptional customer service.

Key Responsibilities
  • Greets patients and assists with check-in, utilizing Epion pad to obtain and scan identification and insurance cards.
  • Reviews Epion for missing or incorrect information and edits or obtains prior to accepting into Athena.
  • Answers and routes incoming calls, ensuring prompt and professional communication with patients and staff.
  • Verifies insurance coverage through Availity and obtains referrals for HMO patients, maintaining accurate records and communicating with patients as needed.
  • Collaborates with the billing/insurance department to ensure adherence to policies and procedures, ensuring prompt payment of claims and collection of copays and balances.
  • Maintains a high level of knowledge of administrative and billing skills, staying up-to-date on industry developments and best practices.
  • Facilitates appointment scheduling, cancellations, and rescheduled appointments in accordance with physician and/or office guidelines.
  • Submits necessary information and documentation for insurance authorization and obtains authorizations.
  • Advises patients of balances owed to GHSE and collects money, maintaining accurate records and communicating with patients as needed.
  • Reviews the next day's charts for insurance and balances, ensuring accuracy and completeness.
  • Coordinates with Billing or Self-Pay Patient Accounts Representative for assistance with patient's questions regarding account balances.
  • Maintains Inbox daily for phone messages, referrals, and continuity of care documents, ensuring tasks are completed and deadlines are met.
  • Participates in weekly huddles with administrative staff, sharing knowledge and best practices to improve patient care and office efficiency.
  • Maintains files and records as requested, ensuring confidentiality and accuracy.
  • Maintains OSHA compliance in coordination with OSHA Compliance Officer, ensuring a safe and healthy work environment.
  • Performs other duties as assigned, demonstrating flexibility and a commitment to excellence.
Requirements
  • Excellent verbal and written communication skills, with the ability to effectively communicate with patients, staff, and external partners.
  • Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities.
  • Ability to prioritize and delegate tasks, ensuring efficient use of time and resources.
  • Ability to maintain confidential records, ensuring patient privacy and confidentiality.
  • Proficient with Microsoft Office Suite or related software, with the ability to learn and adapt to new systems and technologies.
Education and Experience
  • One year of medical office administrative experience, with a strong understanding of EMR systems and medical terminology.
  • Proficient with Athena experience preferred, with the ability to learn and adapt to new systems and technologies.
Physical Requirements
  • Prolonged periods sitting at a desk and working on a computer, with the ability to lift up to 15 pounds at times.
