Job Summary

We are seeking a highly organized and proactive Project Coordinator to join our team at the Commonwealth of Virginia. This role will provide exceptional support to our faculty, students, and staff, and will be responsible for coordinating events, managing logistics, and providing administrative assistance.

Key Responsibilities
  • Event Support (75%):
    • Arrange venues and coordinate logistics for events
    • Purchase supplies and materials as needed
    • Schedule and coordinate travel arrangements
    • Process reimbursements and reconcile accounts
    • Provide on-site support for events, including setup and cleanup
  • Faculty Recruitment (15%):
    • Organize and update cloud folder systems
    • Work closely with search chairs to coordinate faculty recruitment processes
    • Arrange meetings with primary stakeholders and communicate with all parties
    • Provide day-of interview assistance, including Zoom support and candidate coordination
  • Faculty On-boarding (5%):
    • Work with finance and IT teams to coordinate supplies and orders
    • Order business cards and other materials as needed
    • Collect information for website posting and place on appropriate email lists
  • Faculty/Student General Assistance (5%):
    • Provide meeting support, including room reservations and catering orders
    • Be available to assist with last-minute requests and other administrative duties as needed
Qualifications
  • Associate's degree or higher
  • 1+ year of experience in event support or a related field
  • Excellent organizational and planning skills
  • Ability to work effectively independently and as part of a team
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft 365 applications
What We Offer
