Position Overview:
The Commonwealth of Virginia is seeking a qualified candidate for the role of Administrative Coordinator at the Intermediate or Senior level. This position plays a crucial role in supporting vital healthcare initiatives.

Key Responsibilities:
The successful applicant will be responsible for a variety of administrative tasks, including but not limited to:
  • Drafting and formatting manuscripts for scientific publications and creating presentation slides.
  • Assisting in the preparation of grant proposals and clinical trial documentation.
  • Managing incoming phone communications.
  • Organizing and maintaining calendars for team members.
  • Facilitating clinic preparation and appointment scheduling.
  • Transcribing notes and correspondence from meetings and conferences.
  • Prioritizing and managing incoming faxes and mail.
  • Coordinating travel logistics and expense reimbursements.
  • Supporting data entry and database management tasks.
  • Monitoring inventory and ordering necessary supplies.
  • Assisting in the organization of educational conferences.
  • Updating and maintaining faculty curriculum vitae.
  • Managing document scanning and organization.

Minimum Qualifications for Intermediate Administrative Coordinator:
  • Education: High school diploma required; Bachelor's degree may substitute for experience.
  • Experience: A minimum of four years in a medical office setting.
  • Proficiency in Microsoft Office and strong computer skills are essential; familiarity with relevant software is preferred.

  • Education: High school diploma required; Bachelor's degree may substitute for experience.
  • Experience: A minimum of six years in a medical office setting.
  • Proficiency in Microsoft Office and strong computer skills are essential; familiarity with relevant software is preferred.
