Job Title: Administrative Operations Specialist at the Commonwealth of Virginia

The Commonwealth of Virginia is seeking an Administrative Operations Specialist to deliver essential support to leadership and various departmental functions. This position is pivotal in ensuring smooth administrative processes within a professional and inviting environment.

Key Responsibilities:
  • Serve as a point of contact for collaborators, fostering relationships with faculty and external research partners.
  • Oversee intricate scheduling, arrange meetings, and prepare necessary documentation.
  • Analyze financial reports, develop expenditure summaries, and create budget forecasts.
  • Assist with grant management, including document organization, proposal development, and liaising with stakeholders.
  • Coordinate the activities of researchers and monitor project timelines.
  • Maintain documentation for faculty, organize travel arrangements, plan events, and manage online content.
  • Execute various administrative tasks to enhance operational efficiency.
Qualifications:

Education: High School Diploma
Experience: Minimum of 3 years in a relevant external role or 1 year in an internal human resources capacity.

  • Understanding of organizational structures and administrative protocols.
  • Strong verbal and written communication abilities.
  • Capability to work autonomously and collaboratively within a diverse team.
  • Flexibility to adapt to changing work conditions.
  • Excellent problem-solving and organizational capabilities.
  • Proficiency in Microsoft Office Suite, virtual meeting platforms, and relevant organizational software.

Physical Requirements:

This role is primarily desk-based, with occasional travel necessary for meetings and events.
