Key Responsibilities

The Office Coordinator plays a crucial role in supporting the operations of our office, focusing on business development, client relations, and administrative functions. Task priorities will be outlined under the guidance of the Head of Wealth.


This position also involves managing special projects that support the aforementioned areas, serving as the primary point of contact for clients visiting our office. The ideal candidate will possess a naturally positive and professional demeanor.


  • Greeting clients and managing incoming calls
  • Handling daily office correspondence, including mail and courier services
  • Overseeing and replenishing office supplies and equipment; coordinating with vendors
  • Preparing for client meetings, including catering arrangements
  • Organizing document storage
  • Managing client databases (Salesforce)
  • Maintaining both public and private calendars
  • Compiling materials for client meetings
  • Coordinating travel and appointments for the leadership team
  • Processing employee reimbursements and generating expense reports

Qualifications

  • Preferred: Associate's degree or a B.A./B.S. degree
  • We are looking for a highly motivated individual who can multitask while maintaining a keen attention to detail
  • Prior experience in an administrative role is advantageous, particularly in financial or professional services
  • Strong verbal and written communication skills, along with exceptional interpersonal abilities when interacting with clients and prospects
  • Proficient in computer applications, including PowerPoint, Excel, Word, and PDF editors, with familiarity in Salesforce
  • Excellent time management capabilities and the ability to prioritize tasks effectively
  • Understanding of general office administration and office equipment
