Position Overview:
The Administrative Officer plays a crucial role in enhancing the efficiency of the department by managing a variety of administrative tasks. This position requires a proactive individual who can effectively support the head of the agency in their complex administrative responsibilities.
Compensation:
Min Hourly Rate($): 30.03
Max Hourly Rate($): 30.03
Qualifications:
- Bachelor's degree
- Experience in a role such as a staff assistant to an agency head or in a technical capacity within a large organization focused on administrative studies and analyses.
- Alternatively, a combination of education and experience that is substantially equivalent to the above.
Essential Skills:
- Understanding of public administration principles and practices.
- Proficient in modern office management techniques, with the ability to supervise and coordinate administrative support staff.
- Capable of preparing comprehensive reports, findings, and recommendations.
- Ability to articulate ideas clearly in written and spoken formats, including delivering speeches.
- Strong time management skills, with the capacity to multitask and prioritize effectively.
- Detail-oriented with excellent problem-solving abilities.
- Exceptional written and verbal communication skills, alongside strong organizational capabilities.
- High proficiency in MS Office applications: PowerPoint, Excel, Word, and Outlook.
Key Responsibilities:
- Assist the department head by managing complex administrative duties related to the agency's primary functions.
- Conduct operational procedure analyses and compile detailed reports with findings and recommendations.
- Collaborate with the Division of Methods, Research, and Office Services to implement approved procedural changes.
- Engage in public relations activities, including drafting news releases and conducting community outreach to promote agency programs.
- Support the preparation of the agency's annual budget through administrative tasks and research.
- Oversee the performance of staff providing administrative support in areas such as personnel, budget, and supplies.
- Facilitate workflow coordination among various agency units.
- Manage the allocation of space, equipment, and personnel to optimize work processes.
- Handle significant volumes of routine and complex clerical tasks essential for operational functions.
- Review and assess administrative procedures and processes, making recommendations for efficiency improvements.
- Act as a liaison with Payroll to resolve timesheet discrepancies and ensure accuracy.
- Review quarterly variance reports for accuracy.
- Perform additional related duties as assigned.
