Position Overview:

The Administrative Officer plays a crucial role in supporting the leadership of the organization by managing a variety of administrative functions. This position is essential for ensuring the smooth operation of the office and the effective execution of departmental objectives.

Compensation:

Min Hourly Rate: $30.03

Max Hourly Rate: $30.03

Qualifications:

  • Bachelor's degree required.
  • Prior experience in a role such as a staff assistant to an agency head or as a technician in a large organization focused on administrative studies and analyses.
  • Equivalent combinations of education and experience will be considered.

Essential Skills:

  • Comprehensive understanding of public administration principles and practices.
  • Proficient in modern office management techniques, with the ability to supervise and coordinate administrative support staff effectively.
  • Strong report writing and analytical skills.
  • Capability to prepare and deliver presentations to diverse audiences.
  • Exceptional time management, multitasking, and prioritization abilities.
  • Meticulous attention to detail and strong problem-solving capabilities.
  • Excellent verbal and written communication skills, along with strong organizational skills.
  • High proficiency in MS Office applications: PowerPoint, Excel, Word, and Outlook.

Key Responsibilities:

  • Assist department heads by managing complex administrative tasks directly related to their core functions.
  • Conduct operational procedure analyses and prepare comprehensive reports with findings and recommendations.
  • Collaborate with the Division of Methods, Research, and Office Services to implement approved operational changes.
  • Engage in public relations activities, including drafting press releases and delivering speeches to community groups.
  • Support budget preparation through administrative tasks and research.
  • Oversee the performance of staff providing administrative support in areas such as personnel, budgeting, and supplies.
  • Facilitate workflow coordination among various units within the organization.
  • Manage the allocation of resources, including space and equipment, to optimize work processes.
  • Handle routine and important correspondence efficiently.
  • Perform a variety of clerical tasks necessary for executing major functions.
  • Review and assess administrative procedures and make recommendations for improvements.
  • Liaise with Payroll to resolve timesheet discrepancies and ensure accuracy.
  • Review quarterly variance reports for accuracy.
  • Perform additional related duties as assigned.
