COMPENSATION AND EMPLOYMENT TYPE:

  • Full-Time Position
  • Starting Salary: $26.14 per hour

KEY RESPONSIBILITIES:

The Front Desk Coordinator is tasked with welcoming all patients, visitors, and staff at Colorado Retina Associates. Responsibilities include managing patient check-ins and check-outs, scheduling appointments, and processing payments. A thorough understanding of insurance networks and scheduling protocols is essential to ensure efficient clinic operations.

PRIMARY DUTIES:

  • Welcome patients and visitors with professionalism and provide exemplary customer service.
  • Utilize Promptly pads for patient check-ins or ensure all necessary information is collected during online pre-visits.
  • Collect co-pays and outstanding balances as required.
  • Verify insurance eligibility and maintain accurate records in NextGen.
  • Coordinate physician schedules, ensuring patients are matched with the appropriate providers and locations, while confirming necessary authorizations.
  • Calculate self-pay amounts and process payments accordingly.
  • Manage appointment scheduling and rescheduling as needed.
  • Add relevant notes to appointment details as necessary.
  • Review and adjust schedules for the following day to optimize patient flow based on physician preferences.
  • Handle vitamin sales transactions.
  • Check in and out visitors efficiently.
  • Maintain accurate transaction records and complete daily closing logs.
  • Ensure all fee tickets are accounted for at the end of each day.
  • Communicate with physicians regarding patient tardiness.
  • Oversee the cleanliness and organization of the drink station and waiting areas.
  • Coordinate kitchen clean-up schedules for staff.
  • Manage the opening and closing of the office, including lights and computer systems.
  • Send daily closing reports to the Front Office Manager.
  • Adhere to CRA policies when requesting time off.
  • Follow all other management policies and procedures.
  • Overtime is not permitted unless authorized.
  • Responsibilities may evolve as determined by management.
  • Travel may be required for training or coverage purposes.
  • Saturday shifts will be scheduled on a rotating basis.

EDUCATIONAL REQUIREMENTS:

  • High School Diploma or GED

PREFERRED QUALIFICATIONS:

  • Previous experience in customer service, particularly in a healthcare environment, is highly desirable.
  • Strong communication skills and professional demeanor.
  • Ability to multitask and perform well under pressure.
  • Proficiency in NextGen EPM and EHR systems is preferred.
  • Familiarity with Microsoft Excel, Outlook, and document scanning.
