Position: Front Desk Coordinator

- Full-Time Position
- Starting Base Salary: $26.14 per hour
COVID-19 VACCINATION POLICY:
Colorado Retina Associates is adhering to the Covid-19 Vaccine Mandate. Vaccination is a requirement for employment, with accommodations available as necessary. All new hires must provide proof of vaccination or a valid exemption.
KEY RESPONSIBILITIES:
The Front Desk Coordinator is responsible for welcoming all patients, visitors, and staff at Colorado Retina Associates. Key duties include managing patient check-ins and check-outs, scheduling appointments, and collecting payments. The Front Desk team must be knowledgeable about the insurances accepted by Colorado Retina Associates and adhere to all scheduling protocols to ensure smooth clinic operations.
PRIMARY DUTIES:
- Welcome patients and visitors with professionalism and exceptional customer service.
- Utilize Promptly pads for patient check-ins or ensure all necessary information is gathered through pre-visit online forms.
- Collect co-pays and outstanding balances as required.
- Verify insurance eligibility for all patients and document insurance details in NextGen as needed.
- Coordinate physician schedules, ensuring patients are assigned to the correct physician and location, while confirming authorizations and insurance accuracy.
- Calculate and collect self-pay amounts from patients.
- Manage appointment scheduling and rescheduling as necessary.
- Add relevant notes to appointment details as required.
- Review and adjust schedules for the following day to optimize patient flow based on physician preferences.
- Process vitamin sales to patients.
- Check in and out visitors as needed.
- Maintain accurate transaction records and complete daily closing logs.
- Ensure all fee tickets are accounted for at the end of each day.
- Communicate with physicians regarding patient tardiness.
- Oversee the maintenance of the drink station and waiting areas.
- Coordinate staff schedules for kitchen clean-up duties.
- Manage lighting and computer operations at the start and end of the day.
- Secure the front door at the beginning and end of the day.
- Send daily closing reports to the Front Office Manager.
- Adhere to CRA policies when requesting time off.
- Follow all other management policies and procedures.
- No overtime without prior approval.
- Responsibilities may evolve at management's discretion.
- Travel may be required for coverage or training purposes.
- Saturday shifts will be assigned on a rotating basis.
EDUCATIONAL REQUIREMENTS:
- High School Diploma or GED
PREFERRED QUALIFICATIONS:
- Previous experience in customer service, particularly in a medical environment, is highly desirable.
- Strong communication skills and professional demeanor.
- Ability to manage multiple tasks and work effectively under pressure.
- Proficiency in NextGen EPM and EHR systems is preferred.
- Familiarity with Microsoft Excel, Outlook, and document scanning.
