Position Overview

The Employees Retirement System is seeking a skilled Administrative Coordinator to provide high-level administrative support and coordination within the Benefits Communications Division (BCOM). This role is pivotal in ensuring the smooth operation of various administrative functions and enhancing the overall efficiency of the division.

Key Responsibilities

The successful candidate will be responsible for a range of essential tasks, including but not limited to:

  • Delivering senior-level administrative assistance to the BCOM leadership and team members.
  • Managing budgetary processes, including tracking expenditures and processing requisitions.
  • Overseeing the division's SharePoint site, ensuring it is updated and effectively utilized for collaboration and document management.
  • Preparing, editing, and distributing various communications, reports, and informational materials.
  • Assisting in the creation of internal communications, such as newsletters.
  • Proofreading and ensuring the accuracy of content for publications and online platforms.
  • Coordinating general office functions, including supply management and event logistics.
  • Compiling and analyzing internal metrics and data for reporting purposes.
  • Facilitating travel arrangements and related administrative tasks.
  • Supporting the onboarding process for new employees within the division.
  • Maintaining records in compliance with established retention policies.
  • Acting as the point of contact for Open Records Requests.

Qualifications

Candidates must meet the following minimum qualifications:

  • Graduation from an accredited high school or equivalent.
  • A minimum of five years of administrative support experience in a professional environment.
  • Proficiency in Microsoft Office applications and standard office equipment.
  • Experience with purchasing policies and budget tracking.

Preferred Skills

Ideal candidates will possess:

  • Strong proofreading and editing skills.
  • Advanced knowledge of SharePoint.
  • Experience in writing and editing communication materials.
  • Familiarity with employee benefits and retirement programs.
