Position Overview
The Employees Retirement System is seeking a skilled Administrative Coordinator to provide comprehensive administrative support and coordination within the Benefits Communications Division (BCOM). This role is crucial in ensuring the smooth operation of various administrative functions and enhancing communication efforts.
Key Responsibilities:
- Deliver senior-level administrative assistance to the BCOM director and team members.
- Manage budget-related processes, including tracking expenditures and processing requisitions.
- Act as the SharePoint administrator for the division, ensuring the internal collaboration platform is up-to-date and functional.
- Prepare, edit, and distribute various documents such as reports, correspondence, and informational materials.
- Assist in creating internal communications, including newsletters.
- Proofread and ensure the accuracy of content for publications and online platforms.
- Coordinate general office tasks, including supply management and event planning.
- Compile and analyze internal metrics and data for reporting purposes.
- Facilitate translation services for informational materials as needed.
- Support travel arrangements and scheduling for division staff.
- Assist in the onboarding process for new employees, including interview coordination and application management.
- Serve as the point of contact for records retention and Open Records Requests.
Qualifications:
Applicants must meet the following minimum qualifications:
- Graduation from an accredited high school or equivalent.
- A minimum of five years of experience in administrative support within a professional environment.
- Proficiency in Microsoft Office applications and standard office equipment.
- Experience with purchasing processes and budget tracking.
Preferred Qualifications:
- Experience in proofreading and editing communications.
- Advanced skills in SharePoint.
- Familiarity with employee benefits and retirement programs.
This position requires attention to detail, a commitment to efficiency, and the ability to work collaboratively within a dynamic team environment.
