Position Overview

The Employees Retirement System is seeking a dedicated and skilled Administrative Coordinator to provide comprehensive administrative support within the Benefits Communications Division (BCOM). This role is essential in ensuring smooth operations and effective communication across the division.

Key Responsibilities

The selected candidate will be responsible for a variety of tasks, including but not limited to:

  • Delivering high-level administrative assistance to the BCOM leadership and team members.
  • Managing budget-related processes, including tracking expenses and processing requisitions.
  • Overseeing the division's internal document management system and ensuring it is up-to-date.
  • Preparing, editing, and distributing various documents such as reports, correspondence, and informational materials.
  • Assisting in the creation of internal communications, including newsletters.
  • Proofreading and editing content for accuracy and clarity.
  • Coordinating general office tasks, including supply management and event planning.
  • Compiling and analyzing internal metrics and data for reporting purposes.
  • Facilitating travel arrangements and scheduling for division staff.
  • Supporting the onboarding process for new employees within the division.
  • Acting as the point of contact for records management and open records requests.

Qualifications

Candidates must meet the following minimum qualifications:

  • Graduation from an accredited high school or equivalent.
  • A minimum of five years of experience in administrative support within a professional environment.
  • Proficiency in Microsoft Office applications and standard office equipment.
  • Experience with purchasing processes and budget tracking.

Preferred Skills

The ideal candidate will also possess:

  • Strong proofreading and editing skills.
  • Advanced knowledge of SharePoint.
  • Experience in writing and editing communication materials.
  • Familiarity with employee benefits and retirement programs.
