  • As a proactive clinical and business leader, the Office Administrator ensures the smooth operation of clinical office services in a dynamic environment, overseeing front office personnel and office protocols, managing all communications (mail, faxes, emails); developing filing systems; reviewing and placing supply orders; delegating and supervising clerical tasks (assigning responsibilities to staff, ensuring all documentation is completed, prescriptions and patient files are digitized, referrals and prior authorizations are processed and documented in patient records, fulfilling all necessary office duties including care gap assessments, annual wellness evaluations, and chronic care management).
  • Direct reports include Front Desk Medical Receptionists and Medical Assistants/Certified Medical Assistants (CMA/MA).
  • Enhances office efficiency by planning and implementing office systems, layouts, and equipment acquisition in our spacious new facility.
  • Adheres to and enforces office policies, standards, and procedures (as outlined by Administration); evaluates clinic performance against established benchmarks; makes necessary adjustments and provides constructive feedback to staff, generating operational reports for management.
  • Meets operational requirements by assigning tasks to front office clinical staff and monitoring outcomes.
  • Keeps management updated weekly on progress within the clinical office.
  • Maintains effective communication and collaboration with Providers, ensuring optimal support and adherence to agreed-upon care processes.
  • Leads office staff by conducting weekly meetings to discuss expectations, clinic performance metrics, and weekly objectives.
  • Improves office staff performance through coaching, counseling, monitoring, and evaluating job outcomes.
  • Ensures office cleanliness and organization (bathrooms, break room, front desk, patient rooms, etc.).
  • Stays current with professional and technical knowledge by attending regular meetings as requested by Administration.
  • Contributes to team success by achieving related results as necessary.
  • Prior experience with Electronic Medical Records (EMR) systems is essential; familiarity with AthenaOne is advantageous.
  • Experience with insurance portals is required, such as PEAR, NaviNet, etc.

Job responsibilities may evolve to meet changing business needs.


Qualifications and Skills:

A minimum of 5-7 years of relevant experience as a medical office administrator is required.

Certification and clinical experience as a CMA/MA, Phlebotomist, or Medical Receptionist is a plus.

Strong leadership abilities, excellent customer service skills, and a commitment to confidentiality, with a patient and skillful approach to resolving challenges.

Experience supporting medical Providers (Physicians, Nurse Practitioners, etc.) is essential.

Prior EMR experience is mandatory; familiarity with AthenaOne is a plus.

Experience with insurance portals is necessary, such as PEAR, NaviNet, etc.

Exceptional organizational and problem-solving skills.

Strong background in medical teamwork and front desk operations.

Excellent administrative capabilities to monitor clinic performance, ensuring compliance with goals and delivery of high-quality services.

A positive team leader with strong interpersonal communication skills dedicated to staff development.

Bilingual proficiency in Spanish/English or Haitian Creole/English is a definite advantage.
