The Commonwealth of Virginia is a leader in education and innovation, and we are seeking a highly skilled and detail-oriented individual to join our team as an Administrative Assistant. This role will provide administrative support to the Director and Program Coordinator of the Enlisted to Medical Degree Preparatory Program (EMDP2).

Key Responsibilities

  • Provide administrative support to the Director and Program Coordinator, including coordinating meetings, scheduling appointments, and preparing reports.
  • Work with students to compile materials requested by the Director and/or Program Coordinator, including academic records and performance metrics.
  • Collaborate with undergraduate Admissions and graduate Admissions offices to ensure compliance with all Mason requirements.
  • Assist with the preparation of EMDP2 reports for stakeholders, including standardized test dates, scores, and planned retakes.
  • Process direct expenditures, including travel, food and beverage, and check requests, and coordinate travel for external EMDP2 visitors.
  • Compile, maintain, and regularly update comprehensive databases of EMDP2 performance metrics.
  • Track and maintain records of student absences, tutoring and teaching assistant activities, and arrival of student transcripts.
  • Coordinate housing needs of EMDP2 students with the Housing Office.
  • Organize files and other documents, and order supplies for the teaching labs and EMDP2 office.
  • Schedule appointments for premed activities, and assist with events for EMDP2.

Requirements

  • High school diploma or equivalent.
  • Experience as an Administrative Assistant.
  • Familiarity with standard word processing, spreadsheets, databases, and Zoom.
  • Detail-oriented with excellent organizational skills.
  • Demonstrated communication and customer service skills.
  • Ability to work under pressure, prioritize work, and multitask.
  • Excellent professional presentation, communication, customer service skills, and good judgment.
  • Ability to provide timely response to requests and inquiries regarding the EMDP2 program.
  • Ability to work courteously and effectively with students and faculty.

Preferred Qualifications

  • Associate's degree in a related field.
  • Enthusiasm for working in higher education and a student-oriented environment.
  • Prior experience working in a higher education environment.
  • Prior experience working on reports.
