Position Overview:

The Operations Supervisor plays a crucial role in overseeing the daily functions of the clinic, which encompasses front office operations, laboratory services, and clinical teams. This leadership position involves guiding staff, fostering professional development, and managing essential processes to ensure the delivery of high-quality patient care. The Operations Supervisor is committed to upholding the core values and mission of Tennessee Oncology.

Key Responsibilities:

  • Manage staffing, scheduling, and clinic workflow to maintain a safe environment and ensure quality patient care.
  • Plan, direct, and coordinate both clinical and administrative operations within the clinic.
  • Oversee payroll and manage overtime effectively.
  • Review and approve staff requests for time off, ensuring adequate coverage.
  • Supervise inventory management and purchasing processes.
  • Conduct annual performance evaluations and manage disciplinary actions as necessary.
  • Participate in required meetings and lead monthly staff discussions.
  • Communicate important information from management meetings to clinic staff.
  • Collaborate with healthcare providers regarding operational matters and report to senior leadership.
  • Support and communicate strategic goals and priorities to all staff members.
  • Identify and lead process improvement initiatives to enhance operational efficiency.
  • Regularly review performance metrics to ensure compliance with key performance indicators.
  • Promote a culture of accountability, recognition, and teamwork.
  • Ensure effective communication between clinic staff and upper management.
  • Delegate tasks to assistant managers and follow up on their progress.
  • Engage with staff and patients to gather feedback and provide support.
  • Maintain competencies to assist with staffing needs when required.
  • Ensure deadlines are consistently met by both self and supervised staff.
  • Address and resolve patient and staff concerns promptly.
  • Work collaboratively with external vendors and contractors.
  • Manage relationships with service providers for maintenance and supplies.
  • Perform additional duties as assigned.
Required Skills and Qualifications:
  • Strong communication skills to interact with diverse individuals.
  • Proficient in written and verbal communication, fostering collaborative relationships.

  • Ability to remain calm and effective in emergency situations.
  • Familiarity with clinic operations and medical terminology.

  • Ability to maintain confidentiality with sensitive information.
Education and Experience:
  • Minimum of 1 year of experience in managing outpatient practices; 3 years preferred, particularly in Oncology/Hematology.
  • Bachelor's Degree or higher is preferred.
  • Experience with healthcare policies and procedures is essential.
  • Demonstrated management and leadership capabilities.
Physical Requirements:
  • Must be able to lift up to 50 pounds.
  • Willingness to travel to various clinic locations as needed.
