Position Summary

The Office Support Specialist at Gateway Group is responsible for managing reception duties and delivering administrative assistance to facilitate company operations. This part-time position works closely with the Operations Manager to ensure the efficient execution of organizational activities and events.

Key Responsibilities

Reception Duties

  • Manage a multi-line phone system to answer and direct incoming calls, gather caller information, and relay messages as needed.
  • Provide friendly and courteous assistance to clients and callers.
  • Welcome visitors at the front desk, ensuring they are greeted, directed, and announced appropriately.
  • Maintain and update databases, including mailing lists and client information systems.
  • Keep internal staff contact lists current.
  • Ensure reception and common areas are safe and organized.
  • Assist with conference room bookings and meeting preparations.

Administrative Support

  • Assist the Operations Manager with various projects and tasks.
  • Contribute to the planning and execution of the annual Gateway conference, including managing invitations, registrations, and schedules.
  • Travel to company events as required.
  • Help manage inventory and replenish office supplies and refreshments.
  • Perform document management tasks such as faxing, scanning, and copying for Directors.
  • Coordinate lunch orders for the office as necessary.
  • Support the Operations Manager in organizing company events.
  • Prepare presentations and other essential documents.
  • Maintain phone systems and cable setups.
  • Assist with data entry and various administrative functions.

Qualifications

  • Consistently maintain a friendly and professional demeanor.
  • Exhibit strong verbal, written, and interpersonal communication skills.
  • Possess basic computer skills, particularly in Microsoft Office Suite.
  • Handle sensitive information with confidentiality.
  • Prior experience in an administrative or receptionist role is advantageous but not mandatory.
  • Availability to work weekdays with flexibility for extended hours during special events.
  • This role does not require driving.
