Massey Comprehensive Cancer Center is dedicated to enhancing the lives of all Virginians through innovative cancer care, impactful research, community engagement, and training the next generation of healthcare professionals.

We are seeking a Grants Management Specialist to join our Post Award Team. This role is pivotal in providing support for a portfolio of sponsored program awards. The specialist will manage the financial and administrative components of awarded grants and contracts, ensuring adherence to funding agency regulations and fostering effective communication among internal and external stakeholders. Collaboration with the Director of Finance and Business Operations, Assistant Director of Finance and Research Administration, Post Award Manager, departmental administrators, and Principal Investigators (PIs) is essential.

Key Responsibilities Include:
  • Overseeing the post-award administration process for a portfolio of grants and contracts, including budget oversight, financial reporting, and compliance management.
  • Reviewing award terms and conditions to ensure compliance with funding agency regulations.
  • Collaborating with Principal Investigators (PIs), project teams, and stakeholders to establish new awards and initiate expenditures; ensuring accurate financial records and budgets in university systems.
  • Providing financial and administrative management, including monthly reviews of expenditures, projections, personnel allocations, and cost share indexes, ensuring expenses are allowable, reasonable, and allocable.
  • Coordinating with internal departments such as finance, accounting, and procurement to ensure compliance with organizational policies.
  • Meeting with PIs and project teams quarterly to discuss financial and administrative matters related to grant and contract management.
  • Managing sub-awards: initiating administrative actions, receiving invoices, monitoring finances, and processing payments.
  • Assisting PIs and project teams with post-award reporting requirements.
  • Identifying and resolving issues related to post-award administration in a timely manner.
  • Ensuring closeout of funded projects in accordance with university processes.
  • Staying informed about changes in regulations and best practices in grant and contract administration.
  • Demonstrating a commitment to risk assessment and utilizing internal control mechanisms.
Qualifications

Minimum Hiring Standards:
  • Experience in grant and contract administration, preferably in a research or academic setting.
  • Strong understanding of federal regulations and compliance requirements related to grant and contract management.
  • Excellent financial management skills, including budgeting and financial analysis.
  • Exceptional attention to detail and accuracy in financial reporting.
  • Strong organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Experience with finance and grant management systems.
  • Proficiency in Microsoft Office suite and related tools.
  • Excellent customer service and communication skills, with the ability to work collaboratively.
  • Ability to apply basic internal control concepts to the management of Federal awards.
  • Commitment to working in a diverse environment.
Preferred Hiring Standards:
  • Bachelor's degree in accounting, business, or a related field is preferred.
  • Experience in analyzing data and providing logical conclusions.
  • Prior experience in research administration, particularly in post-award support.
  • Knowledge of Generally Accepted Accounting Principles and OMB Uniform Guidance for Federal Awards.
