Job Overview
Roessel Joy, a leading player in the food production sector, is on the lookout for a Senior Executive Coordinator. The ideal candidate will possess over 7 years of experience in providing high-level support to C-suite executives. In this pivotal role, you will be responsible for managing invoices for Accounts Payable review, signing essential legal documents, handling insurance-related paperwork, and offering support to the Board of Directors. The perfect fit for this position is someone who is exceptionally organized, adept at calendar and travel management, and ideally has a background in legal or finance (though this is not mandatory).

Key Responsibilities:
  • Conducts thorough research, compiles, organizes, and prepares confidential and sensitive documents.
  • Produces error-free correspondence and manages its flow through the organization's digital processing system.
  • Familiarity with Department of Defense or Department of the Navy Military Manpower Reporting Systems is a plus.
  • Participates in key meetings and accurately records minutes.
  • Reviews and screens incoming correspondence and reports, assessing their importance and prioritizing documents accordingly.
  • Handles incoming calls and visitors, determining priority status and making appropriate referrals.
  • Maintains and compiles records, statistical data, and reports.
  • Establishes and upholds various filing and records management systems.
  • Ensures accurate file plans in accordance with governing policies.
  • Verifies the accuracy of information within databases.
  • Welcomes and assists visitors in a professional manner.
  • Processes daily attendance reports efficiently.
  • Maintains professional communication via phone, email, and mail.
  • Addresses day-to-day administrative and operational issues.
  • Manages and updates calendars, schedules Microsoft Teams meetings, and takes minutes.

  • Familiarity with digital filing systems and managing correspondence.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
