POSITION SUMMARY

This role involves providing comprehensive executive administrative support to senior-level professionals, ensuring seamless operations and effective communication.

WORKING HOURS

Standard business hours, Monday through Friday, 8:00 AM - 5:00 PM (in-person role)

KEY RESPONSIBILITIES

Daily Duties

  • Deliver executive administrative assistance to the deal team, supporting multiple senior-level professionals.
  • Oversee complex scheduling, including appointments, video conferences, and logistics for meetings and client events.
  • Act as a liaison for both internal and external clients.
  • Facilitate the transaction process by managing, organizing, and filing documents in the internal database, assisting with marketing efforts, and ensuring timely distribution of materials.
  • Monitor expenses and prepare monthly expense reports for the team.
  • Coordinate intricate domestic and international travel arrangements, including occasional personal travel.
  • Maintain confidentiality while working in a fast-paced environment, making informed decisions, and operating independently with precision under pressure.
  • Assist in the editing, formatting, and printing of presentations and documents using software such as PowerPoint, Word, Excel, and PDF.
  • Provide backup support to other Executive Assistants and collaborate with support teams across various locations.
  • Complete occasional personal tasks as required.
  • Be available for off-hour support when necessary.
