We are seeking a Senior Executive Coordinator and Office Supervisor.

In this position, you will play a vital role in delivering extensive administrative assistance to our leadership team while also managing the schedules of two additional executives and overseeing the everyday functions of our office.

This diverse role demands a proactive and meticulous professional with outstanding organizational, communication, interpersonal, and problem-solving abilities.

Key Responsibilities

  • Oversee executive schedules, including arranging meetings, coordinating travel logistics, and organizing both personal and professional engagements.
  • Facilitate and support meetings, which includes preparing agendas, documenting minutes, and following up on assigned tasks.
  • Manage office supplies and equipment, ensuring that the workspace is tidy, organized, and inviting for both employees and visitors.
  • Establish and maintain relationships with facilities vendors, such as cleaning services.
  • Act as the primary liaison for both internal and external stakeholders.
  • Coordinate and manage internal and external meetings, including reserving conference rooms, arranging catering, and preparing necessary materials.
  • Assist with special projects and initiatives as directed by the executive team, ensuring timely support and adherence to deadlines.
  • Promote a positive and collaborative work atmosphere by fostering strong relationships with colleagues and stakeholders.
  • Uphold confidentiality and manage sensitive information with the utmost discretion and professionalism.
  • Support the planning and execution of company events and team-building activities as needed.

Ideal Candidate Profile

  • Minimum of 5 years of relevant experience, including support for multiple executives.
  • Proficient in arranging complex travel and navigating different time zones, with a background in executive support and office management.
  • Familiarity with Google Suite, Slack, and Notion is advantageous but not mandatory.
  • Exhibits a proactive approach, exceptional organizational skills, resilience in dynamic environments, attention to detail, and the ability to juggle multiple priorities.
