Position Overview: The Senior Office Administrator represents the advanced tier within the Office Associate occupational group. Individuals in this role engage in various service or administrative functions, executing a wide array of office and program support tasks that necessitate a solid understanding of program knowledge along with office and administrative practices, policies, and procedures. This position may involve leading and mentoring other office support personnel.

Distinctions: The Senior Office Administrator is differentiated from the Administrative Program Assistant I role, where the latter focuses on complex office and administrative support within specialized areas such as accounting, human resources, and information technology, requiring in-depth knowledge of specific programmatic and technical elements. Furthermore, this role is distinct from the Office Supervisor, who primarily engages in supervisory responsibilities such as managing personnel matters and overseeing the work of others.

Key Responsibilities (Illustrative Only):
  • Types or transcribes various documents including correspondence, memos, minutes, and reports from rough drafts or notes;
  • Drafts routine correspondence and memos;
  • Reviews written and numerical documents for accuracy;
  • Schedules appointments for interviews or meetings;
  • Records and compiles inventory, statistical, or fiscal data in diverse formats, generating informational reports as necessary;
  • Contributes to the preparation of reports and other documentation, including fiscal and personnel records, of moderate scope and significance;
  • Provides information to clients regarding departmental programs, policies, and regulations; addresses inquiries from others about services;
  • Conducts research using both automated and paper-based systems;
  • Organizes and maintains filing systems;
  • Manages the purging of records;
  • Maintains efficient filing systems;
  • Troubleshoots minor computer issues and submits service requests as needed;
  • May offer guidance and training to other clerical staff and office volunteers;
  • Prepares purchase orders and other internal documentation;
  • Processes payment items and manages petty cash.
Knowledge, Skills, and Abilities:

Knowledge: Extensive knowledge of office and administrative practices, policies, and procedures related to assigned program and office support functions; proficiency in spelling, grammar, and punctuation; familiarity with office terminology, procedures, equipment technology, and office software applications; and mathematical skills for calculating percentages, formulas, and averages.

Skills: Proficient in operating personal computers, printers, scanners, and various standard office equipment. Some capability in performing basic maintenance on computer systems and general office equipment, including troubleshooting automation issues.

Abilities: Proven ability to organize information and maintain records in multiple formats; communicate effectively in both oral and written forms; follow instructions accurately; manage multiple tasks; establish and maintain effective working relationships with colleagues, clients, and other agencies, even in stressful situations; collect and disseminate information; perform calculations with precision; file documents systematically; proofread effectively; type from clear copies or drafts; make informed decisions based on regulations and established practices; interpret policies and procedures in addressing inquiries, requests, and complaints; and provide leadership to other clerical staff.

Education and Experience: A high school diploma supplemented with relevant clerical or administrative experience in social services or a related field, or any equivalent combination of training and experience that equips the individual with the necessary knowledge, skills, and abilities.
