Position Summary
This role is pivotal in enhancing Trust Automation's success by fostering a positive experience for both visitors and employees. This will be achieved by cultivating a warm, welcoming, and friendly atmosphere for all who enter our premises.

In addition to creating an inviting environment for guests, the Receptionist will provide support to Trust Automation's leadership and Human Resources team.

The position will report directly to the VP of Human Resources while also taking on additional responsibilities from the Culture Coordinator.

Key Responsibilities
To excel in this role, the individual must effectively perform the following essential duties:

  • Manage correspondence, maintain records, and execute clerical tasks such as filing, faxing, and photocopying.
  • Greet guests with a friendly demeanor and assist with inquiries.
  • Collaborate closely with the Culture Coordinator to identify necessary services for guests and visitors.
  • Issue visitor badges and assist with check-in and check-out procedures.
  • Ensure employees possess their company-issued badges.
  • Answer and direct phone calls to the appropriate departments, adhering to the '5 Star Service Standards' checklist.
  • Complete the daily front desk checklist with all required tasks.
  • Restock café items as indicated on the front desk checklist.
  • Maintain cleanliness and organization of the café and stockroom.
  • Handle mail, packages, and courier deliveries appropriately.
  • Respond to visitors' questions, calls, and emails, providing relevant information.
  • Maintain directories and logs for visitors, employees, and departments.
  • Assist in developing printed materials for the Human Resources department or events organized by the Culture Coordinator.
  • Support the Culture Coordinator in ordering café supplies as needed.
  • Organize the reception area in compliance with office procedures and regulations.
  • Assist in decorating the office for designated holidays.
  • Complete closing tasks, including stocking office printers and ensuring conference rooms are clean.
  • Coordinate catering setup and cleanup as per the Culture Coordinator's schedule.
  • Work in tandem with day porters to maintain cleanliness in high-traffic areas.
  • Perform additional duties as assigned.

Qualifications
1-3 years of relevant experience in office support or customer service roles.
Exceptional customer service and communication skills, both written and verbal.
Prior experience working with high-profile clientele.
Ability to adapt to various personality types.
Proficient in multitasking and managing multiple projects simultaneously.
Maintain a high degree of discretion, diplomacy, and confidentiality.
Quick-thinking and efficient in responding to requests and anticipating needs.
Motivated to foster a welcoming and healthy environment for employees and guests.

Software Proficiency
Working knowledge of Microsoft Excel, Outlook, and Word. Experience preferred in Microsoft PowerPoint and desktop publishing tools such as Canva, Adobe Illustrator, and Affinity Design.

Physical Requirements
Ability to hear and speak to exchange information in person, over the phone, or virtually.
Dexterity to operate a computer keyboard and other office equipment.
Visual acuity to read various materials.
Ability to sit or stand for extended periods.
Physical capability to lift up to 20 pounds to shoulder height.

Compensation
The salary range for this position is $20.00 - $23.00 per hour.
