Position Summary
This role plays a crucial part in enhancing Trust Automation's success by ensuring a positive experience for both visitors and employees. The Reception Operations Specialist will create a warm, welcoming, and friendly atmosphere for all who enter the facility.

In addition to fostering a great visitor experience, the Receptionist will provide support to the leadership and Human Resources teams.

Key Responsibilities
To excel in this position, the individual must successfully perform the following essential duties:

  • Manage correspondence, maintain records, and execute clerical tasks such as filing, faxing, and photocopying.
  • Greet guests with a friendly demeanor and assist with inquiries.
  • Collaborate with the Culture Coordinator to identify necessary services for guests and visitors.
  • Issue visitor badges and assist with check-in and check-out procedures.
  • Ensure employees display company-issued badges.
  • Answer and direct phone calls using the "5 Star Service Standards" checklist.
  • Complete the daily front desk checklist, ensuring all tasks are accomplished.
  • Restock café items as per the front desk checklist.
  • Maintain cleanliness and organization of the café and stockroom.
  • Handle mail, packages, and courier deliveries appropriately.
  • Respond to visitor inquiries via phone, email, and in-person.
  • Maintain directories and logs for visitors, employees, and departments.
  • Assist in creating printed materials for the Human Resources department or events.
  • Support the Culture Coordinator with supply orders for the café.
  • Organize the reception area in accordance with office procedures.
  • Assist with office decorations for designated holidays.
  • Complete closing tasks, ensuring conference rooms and office spaces are tidy.
  • Coordinate catering setup and cleanup as per the Culture Coordinator's instructions.
  • Work with day porters to maintain cleanliness in high-traffic areas.
  • Perform additional duties as assigned.

Qualifications
1-3 years of relevant experience in office support or customer service roles.

Exceptional customer service and communication skills, both written and verbal.

Experience working with high-profile clientele is preferred.

Ability to adapt to various personality types and multitask effectively.

Strong discretion, diplomacy, and confidentiality are essential.

Proactive in anticipating the needs of others and providing a welcoming environment.

Technical Skills
Proficient in Microsoft Excel, Outlook, and Word. Experience with Microsoft PowerPoint and desktop publishing tools such as Canva, Adobe Illustrator, and Affinity Design is advantageous.

Physical Requirements
Ability to communicate effectively in person and via telephone.

Dexterity to operate a computer keyboard and other office equipment.

Visual acuity to read various materials.

Capability to sit or stand for extended periods and lift up to 20 pounds.

Compensation
The salary range for this position is $20.00 - $23.00 per hour.
