Position Summary

The individual in this role will play a vital part in enhancing Trust Automation's reputation by fostering a positive atmosphere for both visitors and staff. This will be achieved by cultivating a warm, inviting, and friendly environment for everyone who enters and exits our premises. In addition to creating a welcoming experience for guests, the Receptionist will provide support to the leadership and Human Resources teams, reporting directly to the VP of Human Resources while also assisting the Culture Coordinator with various tasks.

Key Responsibilities

  • Overseeing correspondence, maintaining records, and executing clerical tasks such as filing, faxing, and photocopying.
  • Greeting guests warmly and addressing any inquiries they may have.
  • Collaborating closely with the Culture Coordinator to assess the needs of guests, visitors, or groups at the facility.
  • Issuing visitor badges and assisting with check-in and check-out procedures for non-employee guests.
  • Ensuring that all employees display their company-issued badges.
  • Answering and directing phone calls to the appropriate personnel or departments while adhering to established service standards.
  • Completing the daily front desk checklist to ensure all tasks are accomplished.
  • Restocking café items as per the designated schedule.
  • Maintaining cleanliness and organization in the café and stockroom.
  • Managing mail, packages, and courier deliveries efficiently.
  • Responding to visitors' questions, calls, and emails, providing relevant information as needed.
  • Maintaining directories and logs for visitors, employees, and departments.
  • Assisting in the creation of printed materials for the Human Resources department or events coordinated by the Culture Coordinator.
  • Supporting the Culture Coordinator with supply orders for the café when necessary.
  • Organizing the reception area in accordance with office policies and procedures.
  • Helping the Culture Coordinator with office decorations for designated holidays.
  • Completing end-of-day tasks such as stocking office supplies and ensuring cleanliness in conference rooms and workspaces.
  • Coordinating catering setup and cleanup as directed by the Culture Coordinator.
  • Working in tandem with day porters to maintain cleanliness in high-traffic areas.
  • Performing additional duties as assigned.

Qualifications

  • 1-3 years of relevant experience in office support or customer service roles.
  • Exceptional customer service and communication skills, both written and verbal.
  • Experience working with high-profile clientele.
  • Ability to adapt to various personality types.
  • Proficiency in multitasking and managing multiple projects simultaneously.
  • Capacity to maintain discretion, diplomacy, and confidentiality.
  • Quick and efficient problem-solving skills, with an ability to anticipate the needs of others.
  • Motivated to foster a welcoming and healthy environment for both employees and guests.
  • Proficient in Microsoft Excel, Outlook, and Word, with preferred experience in PowerPoint and desktop publishing tools such as Canva, Adobe Illustrator, and Affinity Design.

Physical Requirements

  • Ability to communicate effectively in person, over the phone, or virtually.
  • Dexterity to operate a computer keyboard and other office equipment.
  • Visual acuity to read various materials.
  • Capability to sit or stand for extended periods.
  • Physical ability to lift up to 20 pounds to shoulder height.

Compensation Information

The salary range for this position is $20.00 - $23.00 per hour.
