Position Summary
The role of the Reception Operations Specialist is pivotal in enhancing the overall experience for both visitors and staff at Trust Automation. This position is tasked with fostering a warm, inviting, and friendly atmosphere for all individuals entering and exiting our facilities. In addition to welcoming guests, the Receptionist will provide support to the leadership and Human Resources teams, reporting directly to the VP of Human Resources while collaborating with the Culture Coordinator on various initiatives.
Key Responsibilities
- Oversee correspondence management, maintain records, and execute clerical duties such as filing, faxing, and photocopying.
- Greet guests warmly and assist them with inquiries or questions they may have.
- Collaborate closely with the Culture Coordinator to identify the services required for guests and groups visiting the facility.
- Issue visitor badges and assist with check-in and check-out processes for non-employee guests.
- Ensure that all employees display their company-issued badges.
- Handle incoming calls, directing them to the appropriate personnel while adhering to the established service standards.
- Complete the daily front desk checklist, ensuring all tasks are accomplished.
- Restock café items as per the front desk checklist schedule.
- Maintain cleanliness and organization of the café and stockroom.
- Manage mail, packages, and courier deliveries efficiently.
- Respond to visitor inquiries via phone, email, and in-person, providing relevant information.
- Maintain accurate visitor, employee, and departmental directories and logs.
- Assist in creating printed materials for the Human Resources department or events coordinated by the Culture Coordinator.
- Support the Culture Coordinator in ordering supplies for the café as necessary.
- Organize the reception area in compliance with office protocols and regulations.
- Assist in decorating the office for designated holidays.
- Perform closing tasks, including stocking office supplies and ensuring cleanliness in conference rooms and workspaces.
- Coordinate catering setups and cleanups as directed by the Culture Coordinator.
- Work collaboratively with maintenance staff to ensure high-traffic areas are kept to Trust standards.
- Undertake additional responsibilities as assigned.
Qualifications
- 1-3 years of relevant experience in office support or customer service roles.
- Exceptional customer service and communication skills, both written and verbal.
- Experience working with high-profile clients is preferred.
- Ability to adapt to various personality types.
- Capable of multitasking and managing multiple projects simultaneously.
- Maintain a high level of discretion, diplomacy, and confidentiality.
- Quick thinking and efficient in responding to requests while anticipating the needs of others.
- Motivated to create a welcoming and positive environment for both employees and guests.
- Proficient in Microsoft Excel, Outlook, and Word; experience with PowerPoint and design software such as Canva, Adobe Illustrator, or Affinity Design is a plus.
Physical Requirements
- Ability to communicate effectively in person, over the phone, or virtually.
- Dexterity to operate a computer keyboard and other office equipment.
- Visual acuity to read various materials.
- Capability to sit or stand for extended periods.
- Physical ability to lift up to 20 pounds to shoulder height.
- Agility to lift, carry, push, or pull objects as needed.
Compensation Information
The salary range for this position is $20.00 - $23.00 per hour.
