Position Summary:

The Pharmaceutical Inventory Specialist plays a crucial role in managing the supply chain of medications and vaccines. This position involves overseeing inventory levels, facilitating orders, and ensuring accurate tracking of pharmaceutical products. The specialist will also be responsible for quality assurance processes and reporting to relevant health authorities.

Key Responsibilities
  • Monitor and maintain inventory levels by assessing stock, anticipating needs, and placing orders as necessary.
  • Keep detailed logs for equipment maintenance, including refrigerators and temperature monitors.
  • Receive and verify incoming inventory, ensuring accurate labeling and timely updates to inventory systems.
  • Conduct regular audits and reconcile physical inventory counts with digital records.
  • Address discrepancies in inventory reports and provide solutions.
  • Serve as a resource for inquiries related to medications and vaccines from various sites.
  • Document all relevant information in the electronic health record system.
  • Keep staff informed about updates and changes in medication and vaccine protocols.
  • Establish and nurture relationships with pharmaceutical representatives, relaying important information to management.
  • Coordinate training sessions with drug representatives to ensure compliance with policies.
  • Manage sample medication inventory and conduct monthly audits.
  • Update National Drug Code (NDC) numbers for accurate billing.
  • Perform monthly inspections of medication storage areas to ensure compliance with labeling and storage requirements.
  • Assist in quarterly inspections of medication rooms.
  • Document patient assistance medications upon receipt.
  • Report any temperature excursions to the appropriate health programs.
  • Collaborate with public health officials on vaccine education and program management.
  • Ensure that vaccine information sheets are current and readily available.
  • Report vaccine inventory and usage to relevant programs as required.
  • Pre-order seasonal vaccines and manage additional requests as needed.
  • Conduct bi-annual reconciliation reports on vaccine inventories.
  • Encourage immunization status reviews for patients.
  • Support best practices in immunization processes.
  • Log vaccine lot numbers for tracking purposes.
  • Review immunization documentation for accuracy.
  • Perform additional duties as assigned.
Qualifications
  • Experience in a medical or pharmacy setting, such as a Pharmacy Technician or Medical Assistant.
Preferred Qualifications
  • Associate's degree in business, accounting, finance, or related fields.
  • 3-5 years of relevant experience in healthcare administration.
  • Certification as a Pharmacy Technician.
